We are seeking a friendly, organized, and professional receptionist to join our team. As the first point of contact for visitors, clients, and employees, the receptionist will play a crucial role in creating a welcoming environment and ensuring smooth day-to-day operations in the office. The ideal candidate will have excellent communication skills, a positive attitude, and the ability to multitask in a fast-paced environment.
Responsibilities :
Front Desk Management :
Greet and welcome visitors with a positive, friendly attitude.
Direct visitors to the appropriate personnel or office areas.
Answer and direct phone calls, take messages, and respond to inquiries.
Manage the reception area to ensure it remains tidy and organized.
Administrative Support :
Assist with scheduling appointments, meetings, and conference room bookings.
Maintain office supplies and reorder items as necessary.
Process incoming and outgoing mail and packages.
Provide administrative support to office staff, including filing, data entry, and document management.
Assist in coordinating office events and activities as needed.
Communication & Customer Service :
Serve as a point of contact for general inquiries about the company.
Handle customer complaints or concerns professionally and escalate when needed.
Maintain confidentiality and follow company policies regarding privacy and security.
Technology & Systems :
Operate office equipment such as fax machines, printers, and copiers.
Ensure that the phone system, email, and scheduling software are functioning correctly.
Help onboard new visitors and employees with relevant access information (security badges, visitor logs, etc.)
Working hours : 8 : 00 AM - 5 : 00 PM
Skills :
Bilingual English and Spanish is preferred
Education : High School
Experience : 0-1 years
Qualifications :
Previous experience in customer service
