Commercial Property Administrator

Position Summary :

We are seeking a highly organized and detail-oriented Property Administrator . In this pivotal role, you will work closely with the Property Manager to provide comprehensive administrative and clerical support for a portfolio of assigned properties and projects.

As the first point of contact for tenants, vendors, and ownership groups, you will deliver outstanding customer service while maintaining a strong focus on efficiency and results. This is a fully on-site position designed for individuals who thrive in a fast-paced, client-facing environment where real-time responsiveness and relationship-building are key.

Key Responsibilities :

  • Provide full administrative support, including handling phone inquiries, typing correspondence, filing, and distributing communications.
  • Coordinate and schedule meetings, site visits, and special events as needed.
  • Support lease administration, including new lease setups, lease modifications, and report generation.
  • Assist with the preparation and coordination of bid proposals, service contracts, and invoice processing.
  • Maintain accurate and organized lease and property files.
  • Track and manage HVAC service agreements and insurance certificates, ensuring timely renewals and compliance.
  • Support the preparation of monthly and quarterly management reports, as well as annual budgets.

Qualifications :

  • Prior experience in property management or administrative support is strongly preferred.
  • Exceptional organizational and communication skills.
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook, etc.).
  • Ability to manage multiple priorities and meet deadlines.
  • Customer service mindset with a proactive and professional attitude.
