to support the Business Management and Controls (BMC) Leaders and the Pennington team. This role involves advanced and confidential administrative support, calendar management, travel coordination, and office operations. The ideal candidate is proactive, detail-oriented, and able to handle multiple tasks in a dynamic environment with professionalism and discretion.
Key Responsibilities :
Manage complex and dynamic calendars, prioritize meetings, and coordinate logistics
Schedule meetings across multiple time zones and calendars
Arrange travel and process expense reports in line with corporate policies (using Concur / Corporate Travel tools)
Serve as an onsite point-of-contact for visiting team members
Coordinate catering, events, and post-event logistics
Maintain office supplies, printer functions, and request facility maintenance when needed
Support onboarding / offboarding, including equipment coordination and building access
Maintain floor signage and cleanliness for BMC areas
Create and manage SharePoint sites and documentation
Support senior leadership team as needed with ad hoc administrative tasks

2+ years of executive administrative assistance experience
Experience supporting multiple senior leaders or business lines
Familiarity with

or similar travel and expense systems
Experience working across multiple locations and with executive stakeholders
Strong interpersonal and collaboration skills
Knowledge of enterprise tools and internal processes (preferred but not mandatory)
