of Job Duties : The Sponsored Contracts Specialist is responsible for the reconciliation of multiple accounts in the Bursar's Office. This position requires analytical thinking, attention to detail, and organization. They must have exceptional communication skills and customer services skills in the performance of all assigned duties and maintain responsiveness to the needs of external and internal customers through courteous and professional behavior. This position is governed by state and federal laws and agency / institution policy.Qualifications :
Required Education and / or Experience :
A bachelor's or master's degree in general business, finance, accounting, or a related field;
At least two (2) years of experience in accounting, reconciliation, and customer service;
Proficiency in computer skills.
Preferred Education and / or Experience :
Experience in higher education; not required but preferred;
Demonstrates written and verbal communication skills and experience in working in a positive team environment with strong interpersonal and relationship skills;
Experience with Workday or other higher education applications;
Experience with military billing portals.
Job Duties and Responsibilities :
Billing / Reconciliation
Bills and collects all sponsored contracts vendors for payments of tuition and fees;
Reconciles sponsored contracts billing accounts regularly to ensure accuracy and completeness of payments
Monitors accounts and follows up with sponsored contracts vendors for delinquent payments.
Payroll Business Processes
Processes and monitors all employee payroll deductions of tuition and fee payments for each semester according to the schedule set forth by Payroll.
Reconciliation of employee tuition deductions to ensure proper application of payments.
Student Accounts Business Processes
Works with Financial Services, ORSP, and Procurement to set up and monitor all sponsored contracts vendors in BANNER and Workday;
Reconciles student accounts impacted by sponsored contracts payments or discrepancies;
Uses judgment and discretion in carrying out the Student Accounts department procedures, policies, and operational routines pertaining to sponsored contracts transactions and student accounts record keeping;
Responsible for monitoring the Sponsored Contracts email account and addressing issues as needed.
Customer Service
Assists students by phone, in person, and e-mail (including the Student Accounts and Sponsored Contracts email accounts) with questions, issues, and concerns about their accounts.
Resolves account inquiries and discrepancies through appropriate reconciliation and documentation.
Administrative Duties
Maintain the Procedures Manual for the Sponsored Contracts Specialist position
Audits and reconciles backlogged files to ensure data integrity;
Maintains electronic tracking systems for sponsored contract vendors and related financial reconciliations;
Processes Chapter 33 VAED military payments and ensures accurate reconciliation between student accounts and CHAP 33 VAED records;
Available after hours / weekends during peak times as necessary.

Demonstrated ability to perform account and financial reconciliations independently and accurately;

Proficiency in using information technology applications for financial analysis and reconciliation;
Strong organizational skills with the ability to work on multiple projects while meeting deadlines;
Ability to comprehend and assimilate technical and business-related documents;

Ability to coordinate and collaborate with other departments;
Knowledge of accounting principles and database management;
Knowledge of applicable laws, regulations, and policies of assigned section;
Ability to maintain professionalism in high-pressure situations;
Capable of conducting research, performing basic quantitative quality assurance reviews, and preparing detailed reconciliation reports.
Ability to exhibit strong organizational skills;
Ability to apply policies and procedures and other applicable regulations associated with assigned department or program;
Ability to effectively communicate in person, over the phone, and in writing to all customers, while providing excellent customer service.
