Parks and Recreation Coordinator
Summary : Coordinates, plans, schedules, develops and implements parks and recreation programs and events. Performs various administrative and clerical tasks that provide support to the Parks and Recreation Department. Maintains accurate records, manages correspondences and reports, and orders Department supplies.
Essential Duties :
- Assists Director with coordinating, planning, developing and implementing parks and recreation programs and events.
- Schedules parks and recreation facilities and works directly with Parks Supervisor to supervise the condition of facilities.
- Coordinates volunteer needs and requests from the community.
- Maintains a variety of files and documents; prepares correspondence, reports, and memoranda for Director; receives and screens incoming phone calls; directs calls to appropriate parties.
- Schedules conferences, meetings, and appointments; reserves conference rooms; prepares meeting agendas; records meeting minutes; makes travel arrangements for Director.
- Assists in departmental budget preparation; Updates and manages the Department's web page and social media sites; assists with public relation duties by preparing and distributing flyers, press releases and brochures.
- Orders office supplies; scans and enters documents into records system; prepares paperwork; may notarize documents.
- Oversees Department purchasing tasks and records; manages supply inventory; contacts vendors; prepares requisitions and invoices for payments.
- Provides general customer service; answers incoming phone calls and inquiries from the public and other City staff; transfers calls as appropriate; greets and directs walk-in customers.
- Collects and maintains daily payments; balances and maintains a cash drawer; oversees customer accounts; prepares daily deposits.
- This position is considered Critical Personnel during a natural or manmade disaster and / or a catastrophic event. This position may be required to provide services or perform duties for the benefit of the public and the continuity of City operations. These may include services or duties different from those performed in the usual course and scope of this position.
- For purposes of business continuity, employees in this position are considered Essential Critical Infrastructure Workers, as defined by the Cybersecurity & Infrastructure Security Agency (CISA).
- Performs other duties as required.
Minimum Qualifications :
Education, Training and Experience Guidelines : High school diploma or equivalent; AND three (3) years of progressively responsible secretarial and customer service experience, preferably in parks and recreation, event coordination or community relations; OR an equivalent combination of education, training, and experience.
Knowledge of : City and Department policies and procedures. Parks and Recreation programs. General office and administration procedures. Accounting principles, practices, and procedures. Basic bookkeeping methods, practices, and procedures.
Skill in : Establishing and maintaining effective working relationships. Event planning and coordination; Operating a personal computer, standard software, and general office equipment. Communicating clearly, both orally and in writing. Maintaining records and filing systems.
License and Certification Requirements :
Additional licenses and certifications may be required depending on area of assignment.A valid State Driver's License may be required.Physical Demands and Working Environment : Work is performed in a standard office environment. Must be able to lift up to 35 pounds, occasionally.
