The Bilingual Patient Intake Coordinator Lead is a key player in ensuring that families enter care quickly, smoothly, and with the support they need from day one.

The Role
As the Intake Coordinator Lead, you oversee the full intake pipeline from first family contact through case-ready status. You guide families, coordinate internal teams, prevent delays, and keep the entire onboarding process moving. You’re the point person who ensures every case meets compliance, documentation, and insurance requirements before starting services.
This role blends leadership, case management, communication, and problem-solving. You’re not just completing tasks—you’re owning the flow, identifying gaps, and setting the standard for intake quality.
What You’ll Do
- Serve as the lead point of contact for new families entering care
- Oversee intake cases from referral through authorization and case-ready status
- Support Spanish- and English-speaking families with clear, compassionate guidance
- Track all documentation, follow up on missing items, and ensure compliance is met
- Verify insurance eligibility and coordinate the full process for BCBA assessments
- Submit and track assessment authorizations with insurers
- Monitor intake timelines and escalate cases that need clinical or operational intervention
- Identify delays, remove barriers, and keep the pipeline moving
- Coordinate with internal departments to ensure readiness for service start
- Recommend process improvements as the company scales, and help build future intake workflows
