The Role

Were seeking a detail-oriented, resourceful Bookkeeper & Operations Coordinator to head our booking and support operations functions. This full-time, 35-hour / week position will play a critical role in ensuring smooth, accurate, and timely administrative processes for our international incentive programs.

Key Responsibilities

  • Maintaining Company financial records including
  • Processing Payroll for 12 employees
  • Proper IRA processing
  • Paying Payroll Taxes
  • Communicating with CPA
  • Closing jobs
  • Running necessary reports
  • Invoice Processing & Entry
  • Reconcile discrepancies and liaise with vendors / account managers for resolution
  • International Wire Management
  • Prepare and initiate international wire transfers (ACH, SWIFT)
  • Monitor confirmation and settlement, troubleshoot any issues with banks
  • Reconcile Accounts
  • Ensure credit card charges are valid and documented
  • Reimburse employee expenses
  • Administrative Support
  • Assist with ad-hoc reporting, Excel-based analyses, and calendar management
  • Coordinate with cross-functional teams to support event-planning milestones

What You Bring

  • Associates or bachelors degree in accounting, finance, or related field (or equivalent work experience)
  • Ability to maintain confidentiality and handle sensitive financial information
  • 2+ years of bookkeeping experience
  • Proficiency with QuickBooks and Excel
  • Experience initiating and tracking international wire transfers
  • Exceptional attention to detail, follow-through, and organizational chops
  • Strong written and verbal communication skills; professional demeanor
  • Preferred :

    Experience preparing materials for annual audits and tax filings.

    Familiarity with multi-state payroll or project / job costing.

    Certification (e.g., Certified Bookkeeper, QuickBooks Certified ProAdvisor, or equivalent) is a plus.
