Overview
We are seeking a highly organized and detail-oriented Real Estate Closing / Transaction Coordinator to join our dynamic brokerage team. This role is pivotal in ensuring seamless transaction processes from listing to close of escrow, maintaining compliance, and supporting agents and clients. The ideal candidate is a proactive problem-solver with excellent communication skills and a commitment to upholding professional standards. We help over a hundred families annually with their real estate goals and you would play a pivotal role, making a significant impact in the process!
Key Responsibilities
Transaction Management / Compliance
- Coordinate all aspects of real estate transactions from listing through close of escrow.
- Collaborate with third-party transaction coordination companies to ensure file compliance.
- Act as a liaison between escrow, title companies, lenders, and clients to facilitate smooth transactions.
- Prepare commission demands and track cap / royalty progress for accurate financial reporting.
Legal / Risk Management
Review disclosures and contracts for accuracy and completeness.Research property and zoning inquiries with city / county authorities as needed.Identify potential legal issues and consult with brokerage counsel to mitigate risks.Advise agents on compliance requirements and best practices to ensure regulatory adherence.Operations & Agent Support
Serve as the primary point of contact for agents' procedural and operational questions ("how do I…").Provide problem-solving support and coordinate between parties to resolve issues efficiently.Assist the sales team manager with training, resources, and operational support.Maintain accurate records and systems to support brokerage operations and efficiency.Property Management / Leasing
Prepare leases and lease listings in compliance with applicable regulations.Address landlord–tenant inquiries and provide timely resolutions.Coordinate with property owners and tenants to ensure smooth communication and operations.General Management / Administration
Act as a "catch-all" problem solver, tackling tasks and challenges as they arise.Oversee the smooth functioning of team processes and workflows.Represent the team's professional and service standards in all internal and external interactions.Qualifications
Bachelor's degree in business, real estate, or a related field (preferred but not required).2+ years of experience in real estate transaction coordination or a related role.Strong understanding of real estate contracts, disclosures, and compliance requirements.Exceptional organizational skills and attention to detail.Excellent communication and interpersonal skills to liaise with agents, clients, and third parties.Proficiency in real estate software (e.g., CRM systems, transaction management platforms).Ability to multitask, prioritize, and thrive in a fast-paced environment.Knowledge of local zoning and property regulations is a plus.Real estate license preferred but not mandatory.Full-time position with occasional evening / weekend availability to meet transaction deadlines.Collaborative team setting with opportunities to support and train agents.Hybrid work arrangement (office and remote) depending on business needs.Why Join Us?
