Job description

Job Summary :

This position combines the traditional executive assistant's administrative and organizational responsibilities with the cross-functional coordination duties of a sales–operations liaison.

The individual serves as the right hand to leadership (e.g., Executive Director or President) while also acting as a communication bridge between sales, operations, and admin — ensuring that commitments to clients are executed accurately and efficiently.

Key Responsibilities : Strategic Leadership :

Executive Support

  • Manage calendars, travel, and meeting logistics for executive leadership.
  • Prepare presentations, correspondence, and reports.
  • Coordinate executive communications and serve as a point of contact between leadership and internal teams.
  • Maintain confidentiality and ensure follow-up on action items and key initiatives.
  • Handle expense reports, scheduling, and administrative documentation.

Operations–Sales Coordination

  • Translate customer requirements and sales commitments into clear operational tasks.
  • Partner with operations to ensure all commitments are executed accurately and on time.
  • Track and report on key operational metrics, including on-time performance, customer satisfaction, and service errors.
  • Identify and resolve communication gaps between departments.
  • Support onboarding of new customers and maintain accurate account setup documentation.
  • Process Improvement & Reporting

  • Compile weekly and monthly KPI reports for leadership review.
  • Analyze recurring service issues or handoff breakdowns between sales and operations.
  • Recommend process improvements that enhance communication, margin integrity, and customer experience.
  • Maintain dashboards or trackers for open issues, corrective actions, and client escalations.
  • Operational Management :

  • Implement best practices to optimize supply chain performance and improve cost efficiency.
  • Ensure high-quality customer service through timely delivery and accurate order processing.
  • Team Leadership :

  • Build, lead, and inspire a team of logistics professionals across multiple departments.
  • Set performance goals, provide mentorship, and foster a culture of continuous improvement.
  • Ensure proper training and development programs are in place to support employee growth.
  • Compliance and Risk Management :

  • Ensure compliance with industry regulations, safety standards, and company policies.
  • Proactively manage risks, including transportation delays, inventory issues, and supply chain disruptions.
  • Maintain a strong focus on environmental sustainability and ethical practices.
  • Technology and Innovation :

  • Leverage technology and data analytics to enhance operational performance and decision-making.
  • Stay abreast of advancements in logistics and supply chain technology to implement innovative solutions.
  • Oversee the integration of new systems or software to streamline operations.
  • Qualifications : Education and Experience :

  • Bachelor's degree in Supply Chain Management, Logistics, Business Administration, or a related field (MBA preferred).
  • Minimum of 8-10 years of experience in logistics, supply chain, or 3PL operations, with at least 5 years in a senior leadership role.
  • Skills and Competencies :

  • Strong leadership and team management skills with the ability to inspire and drive results.
  • Proven success in developing and implementing Strategic Sales Process.
  • In-depth knowledge of logistics, warehousing, transportation, and supply chain processes.
  • Excellent analytical and problem-solving skills, with a data-driven decision-making approach.
  • Proven ability to build and maintain client relationships while achieving operational excellence.
  • Proficiency in logistics software, ERP systems, and data analytics tools.
  • Exceptional communication, negotiation, and presentation skills.
  • Emotional intelligence.
  • Proven success building teams & influencing others.
  • Sales strategy success.
  • Additional Requirements :

  • Experience with international logistics and customs regulations is a plus.
  • Willingness to travel as needed to visit operational sites, clients, and partners.
