We are seeking a business-centric Project Manager with a legal background to support one of our directors. The Project Manager serves as a strategic right hand to the department leadership team—providing high-level project management, operational coordination, and executive support. This role combines the organizational excellence of an Executive Assistant with the strategic execution skills of a Project Manager. The ideal candidate thrives in a fast-paced, entrepreneurial environment, managing competing priorities with professionalism, confidentiality, and precision. Key Responsibilities :
Director Support :
Manage and prioritize the Director's calendar, including scheduling meetings, appointments, and travel arrangements.Prepare and review correspondence, reports, and presentations, ensuring accuracy and professionalism.Screen and handle incoming communications, including phone calls, emails, and mail, and ensure timely follow-up.Organize and coordinate meetings, including preparing agendas, booking venues, and arranging catering if needed.Attend meetings, take detailed minutes, and track action items and follow-ups.Facilitate communication and coordination with internal and external stakeholders.Arrange complex travel itineraries, including flights, accommodations, and transportation, and ensure all arrangements align with the executive's preferences and needs.Prepare travel documentation and manage travel expenses and reimbursements.Serve as a liaison between the executive and clients, board members, and other key stakeholders.Foster and maintain positive relationships with external partners and internal teams.Project Management :
Lead and manage cross-functional business initiatives from conception through completion, ensuring alignment with strategic goals.Develop project plans, timelines, and deliverables; track progress and communicate updates to stakeholders.Support legal and compliance based projects.Coordinate with internal departments to ensure accountability, resource alignment, and timely execution.Streamline and improve business processes, ensuring efficient communication flow across departments.Support strategic planning sessions and help translate high-level objectives into actionable project roadmaps.Manage ad hoc initiatives, special projects, and research assignments for the executive team.Represent the executives in internal and external meetings when requiredMonitor key performance metrics and report project outcomes to the executive team.Monitor project progress and ensure deadlines are met in an effective and timely manner.Keep projects organized and create pivot tables via Excel when needed.Confidentiality and Discretion :
Handle sensitive information with the utmost confidentiality and professionalism.Maintain discretion regarding executive matters and organizational issues.Required Skills and Experience :
Bachelor's Degree required in Business Administration or related fieldMinimum of 3+ years of experience as a business project manager either in a legal capacity or legal industry.Legal background and experience supporting director-level leadership highly preferred.Strong project management skills and passion for business development.Strong organizational, multitasking, and time management abilities.Must be able to thrive in a fast-paced and dynamic business environment.Excellent customer service abilities and professional business acumen.Ability to communicate with external and internal stakeholders on a daily basis.Superior computer skills and proficiency with Microsoft Office Suite.Experience supporting legal executives or experience in the legal industry is a plus.Excellent written and verbal communication skills.Ability to work independently and cross-functionally.Come join our growing team here in Parsippany!
