Job Title : Facilities Coordinator

Job Description

As a Site Operations Coordinator, you will provide essential administrative and operational support to the site management team. Your role will focus on ensuring smooth delivery of day-to-day operations, assisting with vendor coordination, and supporting communication between various stakeholders on site.

Responsibilities

  • Schedule and coordinate vendor activities and site inspections.
  • Maintain accurate records of vendor interactions, service requests, and site activities.
  • Assist in the preparation of basic reports on site operations and vendor performance.
  • Respond to routine inquiries from staff, vendors, and clients.
  • Support the implementation of site procedures and protocols.
  • Organize and maintain site documentation and operational manuals.
  • Assist in tracking and reporting on key performance indicators (KPIs).
  • Coordinate site meetings and prepare relevant materials.
  • Support front desk operations and greet visitors.
  • Liaise with regional mailroom lead to ensure smooth site operations.
  • Participate in safety and compliance initiatives to promote a safe working environment.

Essential Skills

  • 2 years of experience in an administrative or operational support role.
  • Strong organizational skills and attention to detail.
  • Proficiency in Microsoft Office suite, particularly Excel and Outlook.
  • Excellent written and verbal communication skills.
  • Ability to prioritize tasks and manage time effectively.
  • Basic understanding of customer service principles.
  • Ability to work onsite full time.
  • Flexibility for reimbursed travel between client locations.
  • Additional Skills & Qualifications

  • Experience in a facilities management or property management environment.
  • Familiarity with vendor management concepts.
  • Basic knowledge of building operations and maintenance.
  • Experience with data entry and database management.
  • Understanding of health and safety practices in a workplace setting.
  • Exposure to scheduling and coordination software.
  • Work Environment

    Work onsite full-time, Monday through Friday from 8 AM to 5 PM, with some flexibility required. The environment supports a collaborative team atmosphere, with a focus on safety and compliance. Dress code is business casual.

    Job Type & Location

    This is a Contract position based out of New York, NY.

    Pay and Benefits

    The pay range for this position is $22.00 - $25.00 / hr.
