The Scott Varley Real Estate Team (located in Saratoga Springs) is seeking a High-Level Executive Assistant to lead our internal operations, optimize systems, and drive scalable growth. This isn’t just an admin job. This is a leadership role for a systems-obsessed doer who thrives behind the scenes, making magic happen.
Compensation :
- Base salary : $60,000–$75,000, based on experience
- Bonus opportunities based on performance

Responsibilities :
Operations & Systems Leadership
Own and streamline all backend operations so the sales team can stay focused on productionDesign, implement, and manage internal systems, including CRM, transaction coordination, listing management, client communication, and database managementBuild, refine, and document scalable, repeatable processes across departments to drive consistency and efficiencyOversee contract-to-close operations and listing workflows, ensuring consistent quality and timely executionOptimize CRM workflows and transaction management processes to enhance productivity and client experienceCreate, improve, and maintain comprehensive SOPs and internal operations manuals that evolve with the business and support consistent system usageLead cross-functional initiatives and coordinate across departments to support team-wide goals, including expansionCollaborate with leadership on business planning, performance tracking, and operational accountability systemsClient Experience & Reputation Building
Create and manage systems that drive client testimonials, referrals, and online reviewsEnsure client experience touches are timely, personal, and aligned with our brand standardsPartner with marketing to ensure operational follow-through on brand promises and post-close engagementExpansion & Growth Enablement
Build systems and infrastructure that support team growth and increased production volumeCollaborate with leadership to identify operational gaps and design solutions that enable scalable, sustainable growthAnticipate future operational needs as the team grows, ensuring smooth onboarding, communication, and system adoptionStrengthen internal processes to support increased transaction volume without sacrificing quality or serviceQualifications :
3–5+ years of administrative experience (real estate preferred)Bachelor’s degree preferredProven leadership skillsStrong communication, organizational, and project management skillsA passion for systems, structure, and empowering others to succeedCalm under pressure, driven by results, and laser-focused on doing things the right wayAbout Company
