As the Executive Administrative Assistant to the General Manager, you will play a critical role in enabling our leadership team to operate at peak efficiency. This is a dynamic, fast-paced role that requires exceptional organizational skills, polished communication, and the ability to manage complex priorities with discretion and sound judgment. The Executive Assistant will serve as a trusted partner to the executive, ensuring seamless day-to-day operations and enabling them to focus on strategic leadership.
Key Responsibilities
Executive Support & Calendar Management :
Manage a demanding and ever-changing schedule of internal and external meetings, events, and travel.
Prioritize requests and proactively resolve scheduling conflicts.
Ensure the executive is fully prepared for all engagements, with materials, briefings, and logistics in place.
Communication & Liaison :
Serve as the primary point of contact between the executive and internal / external stakeholders.
Draft, edit, and manage correspondence, presentations, and communications with a high degree of professionalism.
Represent the executive with tact, discretion, and cultural awareness.
Quickly grasp and appropriately respond to social cues in both written and verbal communications
Operational & Project Support :
Coordinate special projects and strategic initiatives, ensuring deadlines are met.
Organize leadership offsites, customer demos, tours for VIP, conferences, or team events.
Review and proofread documents, presentations, and communications to ensure accuracy and consistency.
Act as a bridge between GM and stakeholders, both internal and external, ensuring priorities are aligned and communicated clearly.
Travel & Event Management :
Plan and coordinate complex domestic and international travel, including flights, accommodations, ground transport, and detailed itineraries.
Support logistics for executive offsites, industry conferences, and internal events.
Confidentiality & Judgment :
Handle highly sensitive information with the utmost discretion and professionalism.
Exercise excellent judgment in prioritizing competing demands and anticipating executive needs.
Qualifications :
Proven ability to thrive in a fast-paced, high-growth environment.
Exceptional organizational and multitasking skills, with strong attention to detail.
Excellent written and verbal communication skills; able to craft polished, executive-ready documents.
Tech-savvy, with proficiency in productivity tools (Microsoft Office, Google Workspace, Slack, Zoom, Concur, etc.).
A proactive, resourceful mindset with the ability to anticipate needs before they arise.
High level of discretion, integrity, and professionalism.
Education : High School Diploma / GED
Experience : 7+ years of executive administrative experience, with at least 3 years supporting C-level executives, ideally in the technology sector.
