The Leasing Director oversees the Tenant / AHC relationship for the Lease / Sublease Program and owned properties for RCHP-AHC, ensuring compliance with housing law and funding obligations for subleases, renewals, notices to cease and quit, evictions. In coordination with the Leasing Director, Landlord-Facing, this position will develop, refine, and manage systems and processes to facilitate smooth operations in coordination with the Leasing and Finance teams, and develop and maintain procedures to ensure the efficient operation of the Leasing Department as the organization grows.
Responsibilities :
- Tenant Lease Administration : Create and maintain tenant leases, including : Maintaining a comprehensive lease database and files; Drafting new leases and annual renewals; Providing necessary documentation for each lease file.
- Lease Review and Approval : Review and approve all subleases leases and sublease renewals; Sign all tenant subleases and landlord leases; Create Changing Roommate Leases due to move ins and outs
- Coordination and Communication : Coordinate with program directors on matters related to tenant leases, rent, maintenance, utilities, etc.; Work with case managers and other staff to handle unit rentals, collecting required paperwork from and tenants; Create a one page lease summary sheet for each client with lease terms, important phone numbers, reminders, etc.
- Electronic Leasing Platform Management : Oversee the use of AppFolio for lease documentation, rent collection, and maintenance requests.
- Delinquency Management : Send out monthly late rent notices for delinquent tenants; Convene and oversee monthly rent delinquency meetings with programs
- Utility Management : Review and approve utility bills, both mailed and emailed; Separate utility responsibilities between owned properties, rentals, tenants, and RCHP-AHC.
- Eviction Coordination : Coordinate evictions with program and agency staff, legal offices, landlords, and caseworkers; Produce and mail eviction letters as requested by case managers.In addition to attending eviction hearings for various teams.
- Financial Updates : Update clients and caseworkers on client balances.
- Voucher Application Follow up : Review all leases for tenants applying for TRA to ensure compliance with guidelines and that the rent falls within the NJ Fair Market Rent range. Make any necessary adjustments based on team decision. Additionally, sign all documents related to the TRA program.
- Staff Oversight : Supervise leasing / housing coordinators and IRISE housing coordinators.
- Rent Collection : Receive and process rent payments : Enter and upload HAP letters to tenants' AppFolio pages and adjust charges accordingly.
- Rental property lease renewals : Create tenant lease renewals and obtain fully signed lease renewal
- Updated and maintain utilities Spreadsheet : Keep a record of all utilities for which AHC is responsible and pays, in addition to the utilities paid on behalf of tenants that are reimbursed to AHC.
- Update and maintain the Eviction tracker Spreadsheet : Maintain a record of all eviction cases, including pending and closed cases, as well as any non-renewal notices sent to tenants. Monitor the 30-day timeline to ensure all necessary documentation is prepared and forwarded to legal counsel as required.
- Liaison with sheriff department : Whenever a lockout for eviction has been authorized by the judge, I am responsible for contacting the appropriate sheriff's office to coordinate the tenant lockout. Additionally, I ensure that a maintenance team member is available to change the locks as necessary.
- Update and maintain the lease request Spreadsheet : Check review the lease request tracker regularly to ensure that all lease requests submitted by various teams are processed and completed within 48 hours.
- Update and maintain the Move out Tracker Spreadsheet : Maintain a comprehensive record of all tenant move-outs. Ensure that all tenants have been removed from AppFolio. If there are any outstanding tenant balances, provide the ledger to the Finance Department to facilitate the settlement of those balances.
- Create policies and workflows that can assist the team : In my timespan in my position, I created the Cleaning Assessment policy, Emergency Maintenance policy, Extermination Protocol, Leasing Agreement policy, Service Animal policy and the Move out policy
- Update and maintain the property inspection folder : I have created an inspection folder within the RCHP-AHC Leasing Team directory for all properties that have had inspection. Each property address has its own dedicated folder, with subfolders organized by year. All inspection documentationwhether passes or failsmust be scanned and uploaded to the appropriate folders as they are received.
- Creation of Tenant Responsible charges on tenants ledger : Creation of Tenant-Responsible Charges on Tenant's Ledger : Whenever an invoice is received and the tenant is responsible for the charge, it is my responsibility to record the charge on the tenant's ledger within AppFolio. Additionally, I must upload a copy of the invoice for the tenant's review.
Qualifications :
Excellent written and oral communication and interpersonal skills. 2+ years experience with rental systems or
equivalent work experience required. Experience working with a diverse client population including refugees, reentry, and chronic conditions preferred. Experience with systems of organization including filing, databases, and
online platforms. Ability to multitask and work independently in a fast-paced and complex work environment.
Proficient in MS Word and Excel.
