Operations Coordinator
The Operations Coordinator works side by side with the operations team and facilitates seamless and critical support functionality. This position performs the full cycle of customer service, from accessing inbound customer data ensuring the accuracy of incoming manifests and profiles- confirming profiles are not expired, confirming DOT shipping names match profiles with incoming manifest along with TCEQ state waste codes. They compile supporting documentation such as forms for RCRA (Resource Conservation and Recovery Act), DOT, and accounting. The position schedules deliveries and pickups to the waste facility as well as assist in scheduling outbound shipments to different outbound facilities.
Responsibilities :
- Client communications and supporting client requests.
- Review hazardous and nonhazardous waste profiles for customers.
- Printing of hazardous and nonhazardous manifest along with labels and coordinating necessary DOT diamonds and placards.
- Store all reports and excel spreadsheets on OneDrive and share access with internal customers. Includes reports related to Transportation Compliance, Environmental Compliance, Health & Safety and other support areas as needed.
- Communicate with the Director of Operations and others regarding customer service issues regarding request for credit or partial credit of invoices due to quoted rates, billing discrepancies, QA / QC, or errors of omission.
- Track daily volume(s) received and provide daily, weekly, and monthly totals to the team.
- Track and enter Purchase Orders as necessary for invoices received.
- Order supplies for the business unit, including but not limited to general office supplies, chemicals, materials, etc. Track and update all branch expenditures / costs daily.
- Other duties include managing outgoing and incoming mail, filing, fax, ordering of supplies (including but not limited to chemicals, materials, etc.) and providing administrative support to Director of Operations and Controller.
- Ability to work closely across all departments, such as, but not limited to, materials profiling team, material compliance (QA / QC), scheduling, dispatch, sales, supply chain, etc. to resolve issues and / or exchange client information
- Ability to learn operations and understand hazardous waste industry and Energy to Waste and Material Processing Facilities capabilities, services, and processes to effectively communicate with customer service representatives.
Requirements :
High school diploma or GED (General Education Degree) requiredMinimum of 2 years' experience in office management and / or administrative role requiredExperience with state (TCEQ) and federal (Resource Conservation and Recovery Act (RCRA)) and DOT regulations required.Proficiency with various computer software packages.Ability to handle multiple projects, prioritize, meet deadlines, and work independently with initiative in a fast-paced environment.Ability to follow detailed oral and written instructions.Possession of strong organizational skills.Other Preferred :
Experience in hazardous waste industry is preferred.Desire to have direct customer face & provide a high level of customer serviceAbility to use sound judgment and problem solve in a fast-paced environment.Ability to collaborate and build effective relationships at all levels of the organization.Have knowledge & ability to articulate the various types of transportation vehicles (van, roll-off, self-dump, etc.) to effectively assist client with potential transportation needs.Physical Demands :

Pay ranges are reviewed from time to time and may be modified in the future.
The pay range for the primary location of this position is : $39,200.00 - $52,100.00 USD. For hourly roles, this is the annualized salary. To calculate the hourly rate, divide by 2080.
