Position : Governance & Board Administrator

What You’ll Do :
In this role, you will :
- Board and Committee Coordination : Partner with the Executive Director and Board or committee chairs to schedule all meetings and related events. Manage meeting logistics for both in-person and virtual sessions, including room setup, catering, technology, and connectivity. Build, format, and distribute agendas and supporting materials through Zeck; ensure timely delivery and accessibility for all members. Facilitate meetings by welcoming participants, advancing slides, monitoring attendance, and ensuring all technology functions properly.
- Governance Administration : Prepare, format, and maintain Board and committee materials, including agendas, packets, templates, and supporting documentation. Ensure records are accurate, well-organized, and professionally presented. Track deliverables and coordinate with internal contributors to meet governance timelines and expectations. Maintain official Board governance documents, including bylaws, charters, policies, and archives.
- Documentation and Reporting : Record and prepare accurate meeting minutes for all Board and committee meetings. Collaborate with leadership to compile Board reports, dashboards, and scorecards. Maintain up-to-date Board and committee rosters, terms of service, and attendance records. Track and follow up on Board and committee action items, ensuring timely communication and completion.
- Communication and Collaboration : Serve as the primary administrative contact for the Board of Directors and its committees. Coordinate with internal leaders to align materials and communications with organizational priorities. Provide administrative assistance to the Executive Director for Board-related activities and correspondence.
- Board Recruitment and Onboarding : Support Board recruitment and selection activities from an administrative perspective, including documentation, correspondence, and orientation materials. Assist with onboarding new Board and committee members and maintaining member profiles.
