Minimum Qualifications :
Three years of experience in administrative services. EXPERIENCE SUBSTITUTION : Every 15 semester hours earned from an accredited college or university will be credited as six months of experience.

Job Duties :
Collect, date, log, sort, and distribute material to the appropriate persons in a timely manner.Compose correspondence to support Division programs.Communicate critical information about applying for developmental disabilities services and its programs with individuals and families seeking assistance by asking open-ended questions. Use independent judgment to connect callers to proper program leads and / or staff, including making appropriate referrals to other JPHSA divisions and departments.Perform scheduling and reminder calls for appointments as needed and / or assigns duties as necessary to lower-level Administrative Coordinators as support.Ensure that outgoing correspondence / material is correctly documented, addressed, and has all necessary attachments.Schedule routine maintenance and repair service calls on all office equipment to ensure proper working order.Act as point of contact with other JPHSA divisions and departments, vendors, and stakeholders for the Division Director and various divisional tasks.Manage accuracy of program waitlist and annual recertification per program rules and sends appropriate correspondence to individuals, families, community providers, private support coordination, program staff, and other stakeholders. Assign backup duties to lower-level Administrative Coordinators as needed for support.Maintain inventory of office supplies and prepares requisitions for purchase of supplies as needed.Assign lower-level Administrative Coordinators to support program staff to ensure the division has the supplies required to maintain operations.Oversees and maintains documentation of all incoming and routine paperwork for divisional programs as needed. Reviews and returns incomplete packets to the sender.Track Divisional service records and prepare records for off-site storage.Position-Specific Details :
