Position Summary:
The Office Assistant provides administrative and operational support to ensure the office runs efficiently and effectively. This role supports daily office tasks, communication, coordination across departments, and assists with various projects, data collection, and event-related activities. The ideal candidate is detail-oriented, reliable, and able to handle multiple responsibilities in a dynamic environment.
Essential Duties and Responsibilities:
Scheduling and calendar coordination
Managing incoming emails and phone calls
Conducting research as needed
Placing orders and managing purchase requests
Preparing correspondence and written communication
Gathering and collecting data for various projects
Assisting with insurance claims and related documentation
Supporting document preparation and file management
Assisting with employee event planning and coordination
Assisting with online parts sales, including processing orders and responding to inquiries
Performing data entry tasks with accuracy
Coordinating meetings and preparing meeting minutes
Transcribing meeting minutes and recordings
Arranging travel and accommodations
Serving as a liaison with vendors and service providers
Serving as a point of communication between the manager and other departments
Handling office maintenance requests, including coordinating repairs when equipment or facility issues arise
Assisting with towing requests
Other administrative tasks as needed
Requirements:
High school diploma or GED
General computer proficiency
Familiarity with office equipment such as printers and scanners
Reliability and punctuality;being on-time
Professionalism, confidentiality, and discretion
Strong teamwork skills
Positive attitude
Must have unrestricted work authorization; Visa sponsorship is not available for this position
