Position Available: Secretary to District Court Judge

Part-time (up to 30 hours per week)

Contractual Non-Represented Position, No Benefits

Hourly rate: $18.26

The Court is looking for a qualified Secretary to join Team 36. The 36th District Court seeks to fill a contractual at-will Secretary, who shall be paid on an hourly basis.


Under the general direction of the Appointing Judge, the contractual at-will secretary is responsible for general secretarial office duties to be performed as directed, and in accordance with Court policies and statutes.


Must possess interpersonal and communication skills to effectively, competently, and professionally communicate, both orally and in writing, with Court personnel, judges, justice system partners, and members of the public.

JOB TITLE: Secretary to District Court Judge

Part Time - Contractual At-will Position


REPORTS TO: Appointing Judge

GENERAL SUMMARY:

Under the general direction of the Appointing Judge, the contractual at-will secretary is responsible for general secretarial office duties to be performed for the Appointing Judge, as directed, and in accordance with Court policies and statutes including but not limited to the following:

RESPONSIBILITIES & DUTIES:


1. Responsible for formatting, typing, and distributing correspondence for the Appointing Judge. Prepares envelopes for mailing.


2. Ensure that the courtroom video reporting equipment is turned on at the beginning of the day, and off at the conclusion of the docket.


3. Set up and maintain paper and electronic filing systems for records, correspondence, and other material, and organize and file correspondence for the Appointing Judge according to the Judge's preference.


4. Performs secretarial work and maintains files for Appointing Judge as necessary.


5. Answers telephone and give information to callers, takes messages, or transfers calls to appropriate individuals.


6. Completes and submits Leave Requests forms for Appointing Judge.


7. Arrange attendance and travel for the Appointing Judge to attend approved seminars, conferences, and meetings.


8. Retrieve, open, read, route, and distribute incoming mail and other material, and prepare answers to routine letters.


9. Maintains the Appointing Judge’s non-case calendar and ensures timely submission of judicial activity reports as required. Compiles data and prepares reports and documents for Appointing Judge as necessary, including expense reports, continuing legal education hours, financial disclosure statements, and case assignments.

10. Performs all other secretarial duties as requested and assigned by the Appointing Judge.


11. Performs other duties as assigned.

  1. Must be competent using Zoom technology.

JOB TITLE: SECRETARY TO DISTRICT COURT JUDGE

Contractual At-Will Position


JOB QUALIFICATIONS:


  1. A high school diploma or equivalent is required. One (1) to two (2) years of education beyond high school preferred.


  1. Minimum of one (1) year of clerical experience preferably in the public sector.


  1. Proficiency in the use of Microsoft Office Suite, including but not limited to Word and Outlook. Proficient typing skills.


  1. Computer skills necessary to effectively utilize the Court’s Judicial Information System (JIS), case information software, word processing, database, electronic communications, and spreadsheet applications.


  1. Interpersonal and communication skills necessary to effectively, competently and professionally communicate, both orally and in writing, with Court personnel, judges, justice system partners, and members of the public.


  1. Ability to frequently handle pressures related to meeting deadlines, simultaneous handling of multiple projects, fulfilling scheduling requirements and working on projects requiring concentration and attention to detail with periodic disruptions, delays, and unexpected events.

WORKING CONDITIONS:


  1. Normal office environment with little discomfort due to heat, dust, noise, and the like.


  1. On occasion, the need to work an extended workday beyond 7.5 hours, or on a weekend, or on a holiday may be required, with or without notice, based on the needs of the Court.


PHYSICAL CHARACTERISTICS:

1. Strength, dexterity, coordination, and vision to use a keyboard and video display terminal on a daily basis. Hearing to communicate with the public and court staff. Dexterity and coordination to handle files and single pieces of paper. Occasional lifting of objects weighing up to fifteen (15) pounds such as files, stacks of paper, references, and other materials. Moving from place to place within an office. Some reaching for items above and below desk level.


2. Physical ability to frequently sit, stand, or walk for extended periods of time, perform repetitive movements, and work in confined areas.
