Prospect Portfolio Manager

Position Summary :

The Prospect Portfolio Manager strategically maximizes fundraising through data-driven outcomes by managing and optimizing the donor pipeline. This position focuses on the how, when, and what of fundraising, using analytics to support all fundraisers and organizational priorities. The Prospect Portfolio Manager is essential to the success of the fundraising team, ensuring that donor portfolios, from annual giving to principal gifts, are strategically managed to maximize engagement and philanthropic outcomes. This role serves as a thought partner to fundraisers and leadership, driving data-informed decisions that enhance efficiency and fundraising success by ensuring that fundraisers are equipped with the right prospects at the right time, supported by actionable insights and performance metrics.

Position Requirements :

  • Licensure / Certification / Registrations : None.
  • Education : Bachelor’s degree in data analytics, nonprofit management, business, or related field, or equivalent experience.

Experience : 3–5 years of experience in portfolio management, fundraising analytics, or donor strategy.

Proficiency with donor databases (preferably Raiser's Edge or RENXT), Excel, and data visualization tools.

Skills & Abilities : Strong analytical skills with the ability to interpret complex data and translate it into actionable insights.

Excellent communication and collaboration skills to work effectively with fundraisers and leadership.

Essential Functions :

  • Monitor and analyze the health, composition, and performance of major gift officer portfolios using CRM data and fundraising metrics.
  • Develop and maintain dashboards, queries, and reports to track fundraiser activity, donor pipeline progression, and portfolio efficiency.
  • Conduct regular portfolio review meetings to recommend strategic adjustments, including reassignment, prioritization, and cultivation strategies.
  • Collaborate with advancement leadership to align portfolio assignments with fundraising goals and organizational priorities.
  • Support goal-setting and performance review processes for fundraisers by providing data insights and portfolio analysis.
  • Build and strengthen the prospect pipeline by identifying opportunities for movement and reassignment based on engagement indicators.
  • Ensure accurate tracking of donor relationships and activity in the CRM; update records to reflect portfolio changes and strategy shifts.
  • Utilize research and wealth indicators to inform portfolio decisions, without conducting deep donor research.
  • Stay current with trends in philanthropy and technical developments that apply to portfolio management and fundraising analytics.
