The Assistant Controller plays a critical role in ensuring the accuracy, completeness, and compliance of the organization’s financial reporting. By overseeing financial statement preparation, account reconciliations, and the full cycle of accounts payable and receivable processes, this position helps maintain the integrity of financial data and supports optimal cash flow management. The role also involves establishing and enforcing internal controls and standard operating procedures to ensure process integrity and audit readiness, thereby safeguarding the organization’s financial stability.
Key Responsibilities :
- Financial Statement Prep & Analysis : Work closely with team members on the preparation and analysis of financial statements, helping to ensure their accuracy, completeness, and compliance with accounting standards and regulatory requirements. Collaborate in reviewing reports and sharing insights to guide business decisions.
- Reconciliations & AR / AP Management : Ensure timely and accurate reconciliation of all ledger accounts to maintain data integrity, including verifying balances, investigating discrepancies, and implementing corrective actions. Oversee the complete cycle of accounts payable and receivable functions, ensuring prompt processing of vendor invoices, payments, collections, and customer invoicing. Maintain compliance with company policies, reconcile related accounts, manage vendor and customer relationships, and resolve discrepancies to support optimal cash flow and overall financial accuracy.
- Process Integrity : Maintain the integrity of financial processes by establishing and enforcing internal controls, standard operating procedures, and audit readiness. This role ensures consistency and accuracy throughout the accounting and employee lifecycle.
Essential Job Duties :
Promote a culture of compliance and internal controls.Participate in weekly accounting meetings and communicate production accounting updatesMaintain accurate and complete records of financial transactions, ensuring data integrity and compliance with company policies and accounting standardsPlay a key role in the month-end close process by preparing and reviewing payroll entries, depreciation, prepaids, intercompany transactions, and other general ledger entriesPerform or oversee the reconciliation of all major ledger accounts, investigating and resolving discrepancies within established timeframesConduct monthly fluctuation and variance analysis and review to identify differences compared to prior year and budget, collaborating with leadership to implement corrective actionsPrepare and review monthly financial statements, ensuring accuracy and compliance with GAAP and regulatory standards before submissionRecord or oversee recording of cash collections, credit memos, and bank deposits accurately and promptlyManage collections by monitoring outstanding receivables, following up on overdue accounts, and ensuring timely collection of paymentsEnter or oversee entry of accounts payable invoices from suppliers and process payments in accordance with payment termsFile periodic sales and use tax reports, maintaining proper records for exempt customers and ensuring complianceTrack and report on key financial metrics and KPIs regularly to the finance leadership team, highlighting areas of concern or improvementAssist in coordinating and supporting internal and external audits by providing necessary documentation and explanationsDocument and enforce internal controls and standard operating procedures to maintain process integrity and audit readinessWork with the finance team on special projects and process improvements as neededIdentify and address gaps in accounting systems by improving processes, implementing controls, and performing the necessary tasks and roles to ensure accurate and efficient financial reporting and data flowOther job duties as assignedMinimum Qualifications :
Required : Bachelor's degree in accountingRequired : 5 years of experience in accounting, financial management, or a similar role, with proven leadership responsibilitiesRequired : Experience with financial systems such as ERP or accounting software (e.g., SAP, Oracle, QuickBooks) and proficiency in Microsoft Office Suite, especially Excel
