We are a growing property management company, celebrating our 40th year of service, overseeing state-of-the-art and luxury residential buildings across the Boston metro area. We are actively seeking a Maintenance Coordinator / Dispatcher to join the MMC Team!
- Candidates with prior experience administering maintenance service calls and dispatching technicians are highly preferred! The position is largely administrative and requires proficiency in written and verbal communication, computer literacy and the ability to perform detailed clerical work and record keeping for our busy maintenance division to assist our maintenance, cleaning, and snow departments.
Our Maintenance Coordinator / Dispatcher is the first point of contact for client inquiries and delivers outstanding solutions-based service. Our maintenance administrative team members develop strong working relationships with clients (internal and external) and learn to understand what our clients need and how we can help them. The maintenance administrative team works with our clients and property managers to ensure that common questions and concerns are handled in a timely manner by providing support, research, and issue resolution. This position is critical to the overall client experience.
Duties include but are not limited to :
Receive, record, and distribute work ordersRelay messages and special instructions to service personnel in the field via phone and our Service Fusion software programEnter accurate and complete information in Service FusionOrder materials and supplies as requestedPost material receipts to work ordersApprove Service Fusion work ordersMaintain cleaning, maintenance, snow, and construction filesMaintain vehicle maintenance recordsOperate standard office equipment such as computers and copiersPosition Requirements :
Satisfactory background checkPrior maintenance dispatching experience requiredThis position supervises multiple technicians and is responsible for training, coaching, supervision and disciplinary functions. Prior supervisory experience is required.Proficiency with Microsoft Outlook, Word, and ExcelEffectively and concisely present information and respond to questions from clients, property managers and office teamMust be flexible and willing to work extended hours if neededManage time effectively and adapt quickly to changing prioritiesAttention to detail and organizational skillsStrong interpersonal and business communication skillsAnalytical skills to gather and interpret lengthy information from clientsPromptly handle telephone and email messages in a fast-paced office environmentAbility to work independently with some direction (self-motivated and proactive)Ability to problem solve and follow throughBenefits :
