Job Summary

The Project Coordinator will be responsible for project support including the planning, organization, and coordination of special events; coordination and editing support for internal and external communications; and additional project support as needed, under the supervision of the Program Director. The incumbent will work with leadership and staff on small teams to support launch initiatives that include the Schools of Health, UC Davis Health, and the Davis campus as well as local and national partnerships with key stake-holders.

Minimum Qualifications - For full consideration, applicants are encouraged to upload license and / or certification if required of the position .

  • Bachelor's degree in related area or equivalent experience or training
  • Minimum of 1-2 years of progressive Program Coordination experience.
  • Experience in program and project management necessary to provide support for wellness projects.
  • Experience with the creation of video and other media content including production and editing.
  • Proficiency in Microsoft Office (word, excel, outlook, teams)
  • Proficiency in CANVA
  • Excellent diplomacy and judgment to represent UC Davis in situations with diverse stakeholders.
  • Demonstrated political acumen to work in an office environment.
  • Ability to maintain composure during project and event changes, and effectively complete project deliverables in a time-constrained setting.
  • Ability to exercise independent judgment and make effective decisions based on knowledge of campus and University priorities, resources, and policies.
  • Excellent interpersonal and oral communication skills to effectively and professionally communicate in person, investigative skills to elicit information needed to clarify inquiries and requests; and professional skills to handle sensitive or difficult situations diplomatically, and to work effectively and sensitively with constituents from diverse cultural backgrounds and perspectives.
  • Demonstrated ability to work with senior staff and faculty from within and outside the University and the ability to think strategically and serve as a sounding board.
  • Resourcefulness and judgement to anticipate problems / roadblocks and associated consequences and taking appropriate initiative on behalf of Executives.
  • Ability to exercise analytical and problem-solving skills to research, collect analyze and interpret data and to anticipate consequences of decisions and recommendations.
  • Excellent organizational skills : demonstrated skill to work on projects with competing deadlines and to establish goals and workload priorities; flexibility in dealing with people and competing demands.
  • Personal initiative and ability to accept responsibility for decisions and actions.

Preferred Qualifications

  • Experience using Premier Pro
  • Experience working on issues related to health and wellness
  • Experience working in an academic health organization and with faculty
  • Experience working with technology organizations
  • Education and / or experience in the arts to support "health and art" programming
  • Technical skills necessary to support website content creation and management, social media outreach and webinars. Experience in data management and file transfer.
  • Premier Pro experience desired.
  • Technical skills in Photoshop and Premier Pro

    Department Overview

    The Office of Wellness Education spans activities in research, education, practice, and community engagement. More specifically, the Office of Wellness Education : 1) Promotes a cultural shift toward preventive / lifestyle changes as a core component of healthcare de-livery; 2) Positions UC Davis as a reliable source of wellness information; 3) Develops a UC Davis Health Wellness brand that supports further investment in programmatic growth; and 4) Seeks to augment and enhance medical education to include prevention and lifestyle intervention prior to disease and diagnosis. OWE is organizationally under the UC Davis School of Medicine Office of the Dean, and this position reports to the Program Director with whom this position works in close / daily partnership.

    Department Specific Job Scope

    The Project Coordinator will support the planning, organization, and coordination of program communications as well as special events and public health initiatives within the Office of Wellness Education (OWE). Under the direction of the Program Director and in close collaboration with the project team, the project coordinator will provide

    administrative and operational assistance in project implementation, event execution, and

    communications support.

    This position will require quick thinking, rapid turnaround, and the ability to pivot, change, and implement with limited preparation time. The Project Coordinator will work directly with the Program Director to make quick decisions and take initiative within their scope of work, while maintaining high levels of communication and transparency with the team. The ideal candidate will have experience in project coordination, a foundational understanding of public health or health education, and the ability to work collaboratively in a small academic team setting. Communication skills, such as social media management and video editing, will also be considered.

    Under the guidance the Program Director, the incumbent will :

  • independently manage short and long-term deadlines
  • coordinate with external stakeholders
  • support projects with multiple dependencies
  • partner with teammates to backfill support on existing projects
  • support leadership and the communications coordinator with content creation and distribution
  • present in meetings and sessions
  • perform effectively and professionally during time-constrained delivery periods
  • Funding for this position is secured until 2027. Future philanthropic and external funding, which is being actively pursued, will determine the extension of this role.
  • This is a Full-Time position and will be expected to work onsite at the Education Building / Center for Health and Technology, Monday-Friday. This position will require occasional evening and weekend hours, with advance notice.
