Pay Range : $28hr - $32hr

The Site Administrator will be responsible for managing and supporting various administrative and coordination tasks at the construction site.
This includes documentation, reporting, logistics, personnel tracking, and ensuring smooth site operations by supporting the project and management teams.

Responsibilities :

Collect, organize, and manage reports regarding project progress.

Support the creation of progress, site, project, and management presentations.

Attend meetings, take minutes, distribute notes, and track progress on defined action items.

Coordinate site onboarding and provide guidance to new employees arriving on-site.

Track site personnel timesheets and working hours; maintain records and share updates with relevant departments.

Maintain updated records of company personnel on site.

Support the site team with various reporting and administrative needs.

Implement business processes and engage in continuous improvement initiatives to enhance efficiency.

Identify and eliminate non-value-added activities within the scope of responsibility.

Maintain electronic and physical filing systems, records, and databases.

Perform general administrative activities and provide backup support during absences or high workload periods.

Arrange for document translations when needed.

Maintain records of deliveries and shipments; manage parcel logistics.

Administer living quarters, site cars, and local transportation.

Manage site offices and facilities, ensuring their functionality and organization.

Introduce personnel to administrative procedures and site routines.

Coordinate with local suppliers and contractors for services such as housekeeping and security.

Manage office material supplies and ensure availability of PPE (Personal Protective Equipment) for visitors.

Coordinate travel arrangements for site personnel and visitors in collaboration with resource coordinators and project managers.

Requirement / Must Have :

Minimum of 5 years of proven experience in administrative tasks, preferably in a construction or project management environment.

Excellent written and verbal communication skills to interact effectively with team members, suppliers, and contractors.

Strong organizational skills for managing records, reports, and documentation accurately.

High attention to detail in tracking timesheets, working hours, and other administrative records.

Ability to manage multiple tasks simultaneously and prioritize effectively in a fast-paced environment.
