Enrollment and Engagement Specialist
The Enrollment and Engagement Specialist plays a critical role in supporting student success by coordinating the enrollment process fostering family and community engagement and ensuring equitable access to district resources in accordance with state and federal laws. Under the supervision of the Director of Multilingual Education supporting parents in the registration process for students and maintaining accurate student and historical records. This role includes registering and withdrawing students according to established district procedures and communicating registration changes to relevant school-level staff (e.g. principals secretaries guidance counselors etc.) .
This position represents the face of the district and requires a congenial helpful and responsive attitude while maintaining full time hours as established by administration (may include evenings).
Work Year : 12 months (Non-Union) Individual contract.
Work Schedule : Schedule will encompass regular central office hours as established by the administration with occasional evening or weekend events to accommodate family schedules during peak registration periods.
Salary : $65000 - $80000 depending on qualifications and experience.
Enrollment Coordination :
- Coordinate and manage the student enrollment process in accordance with Massachusetts state regulations and federal laws ensuring equitable access for all students including multilingual learners students with disabilities and students experiencing homelessness.
- Serve as the primary point of contact for families during the student registration and enrollment process including language testing as needed.
- Assist families with completing enrollment forms and navigating documentation requirements.
- Maintain accurate student and historical records in alignment with DESE civil rights data privacy regulations and district policies.
- Register and withdraw students according to established district procedures.
- Communicate enrollment and registration changes to relevant school-level staff (e.g. principals secretaries guidance counselors etc.) in a timely and efficient manner.
- Track enrollment trends and provide regular reports to district leadership for strategic planning.
- Collaborate with Student Services Nursing Family Engagement staff and ML Department to ensure timely enrollment of students.
Family and Community Engagement :
Develop and implement strategies to improve family engagement particularly for underserved populations such as multilingual families economically disadvantaged families and families new to the district.Plan and host district-level informational sessions open houses and participate in community events to support student transitions and family engagement.Serve as a resource for families connecting them with available district and community services such as counseling language assistance and special education services.Outreach and Communication :
Collaborate with district leadership to create and distribute clear accessible and multilingual materials regarding enrollment policies deadlines and procedures.Facilitate staff training and guidance on enrollment laws McKinney-Vento procedures and equitable access practices.Respond to inquiries from families in a timely and professional manner providing high-quality customer service.Act as a liaison between the district and external organizations to foster partnerships that support students and families.Equity and Inclusion :
Promote equitable access to educational opportunities by addressing barriers to enrollment for historically underserved communities.Assist in developing policies and practices that support diversity equity and inclusion in the districts enrollment and engagement efforts.Assist the Superintendent of Schools or designee in any business-related activities and any other duties as assigned.
Qualifications :
Education and Experience :
Experience in student enrollment family engagement community outreach or a similar role.Experience working in K-12 education non-profit organizations or community services is a plus.PowerSchool SIS experience preferredSkills and Competencies :
Strong interpersonal and communication skills with the ability to connect with families from diverse cultural and linguistic backgrounds.Proficiency in managing data systems and databases (e.g. PowerSchool Aspen).Bilingual or multilingual proficiency strongly preferred (e.g. Spanish Portuguese or Haitian Creole).Ability to manage multiple priorities and meet deadlines in a fast-paced environment.Knowledge of Massachusetts education laws and district enrollment policies is a plus.At the Woburn Public Schools we are committed to cultivating an environment where diverse perspectives and backgrounds are embraced.
