SALES COORDINATOR
Position Description
The Hotel Sales Coordinator plays a key role in supporting the sales team by coordinating group bookings, assisting with event sales, and executing marketing initiatives. This position contributes to revenue growth through proactive sales support and promotional efforts, develops and helps clients along the sales process, ensures meetings and events run smoothly, handles administrative tasks, and ensures seamless communication between the various hotel departments and the sales team.
Key Responsibilities :
Sales Coordination :
- Assist the Director of Sales with implementation and achievement of the Sales & Marketing Plan.
- Assist the Director of Sales and sales manager with group, corporate, and event booking inquiries.
- Prepare proposals, contracts, and event orders for clients.
- Maintain and update client databases, sales tracking systems, and reports.
- Provides administrative support to the Sales team / office.
- Work closely with all hotel departments by communicating and coordinating sales information.
- Coordinate site inspections and client visits, ensuring a professional and welcoming experience.
- Follow up on leads and inquiries to convert prospects into confirmed bookings.
- Analyzes current client base or target market for the hotel and devises new ways to expand that client base.
Event Sales Support :
Collaborate with the sales team to manage logistics for meetings, conferences, banquets, and other functions.Liaise with clients to understand event requirements and ensure all details are captured accurately.Support the execution of groups, events, and conferences, by coordinating with operations, catering, and front desk teams to ensure successful outcomes and rebooking opportunities.Assist with F&B coordination related to groups and events.Assist F&B in creating event packages and promotional materials.Marketing Support :
Help develop and distribute marketing collateral, including brochures, flyers, digital content, and resource materials for guest and internal communications.Assist in managing social media accounts and hotel website updates.Assist with marketing and leveraging hotel activities and events.Research and develop resources to enhance activity and area information.Support email campaigns and promotions targeting group and event business.Track marketing performance metrics and assist in reporting ROI.Note : Other duties as assigned by supervisor or management.Required Knowledge, Skills and Abilities

Bachelor of Science degree in Business or related field; 2-4 years of related experience may substitute for a college diplomaWork Environment
A hotel sales coordinator spends a significant amount of time in a hotel office, overseeing group and events bookings and servicing key transient accounts, researching potential clients, processing paperwork, and handling client communications. A hotel sales coordinator also moves around the hotel to meet and greet guests and clients. May be required to work nights, weekends and holidays. Must be familiar with Hawaii and the North Shore area.
