Job Title : Wall Tile Production Coordinator

Department : Processing

Job Summary

The Wall Tile Production Coordinator is responsible for expediting and coordinating wall tile orders in Floor Manager, ensuring the timely ordering of materials for each scheduled installation. This role requires close collaboration with internal departments and external suppliers, with a focus on accuracy, efficiency, and effective communication to support successful project completion.

Essential Duties and Responsibilities

  • Receive White Sheets from the Wall Tile Estimator.
  • Enter orders into Floor Manager while reviewing :

o    Diagrams and materials by area.

o    Grout color details.

o    Required samples for approval.

  • Create quotes, sales agreements, work orders, and purchase orders.
  • Scan and upload documents to both the Forms Tab and Wall Tile Teams File (the core location for Field Superintendents).
  • o    Upload diagrams, builder purchase orders, AEWs, or other authorizing documents confirming pricing.

  • Prepare primary job folders for Field Superintendents and installers :
  • o    Color-coded by builder.

    o    Labeled by builder, community, phase, and lot.

  • Maintain logs :
  • o    Orders in queue.

    o    Weekly sales entered (with Janice until further notice).

  • Create and organize “Orange” job folders.
  • Update Wall Tile Status Sheet to reflect :
  • o    Received by Processing.

    o    Sent to Purchasing.

    The Production Coordinator is expected to communicate clearly, build trust with internal departments and suppliers, and assist in managing workflow within the Wall Tile Department. Quick and accurate action may be required in response to revisions, shortages, or missing / broken materials to avoid project delays.

    Required Skills and Qualifications

  • Ability to work in a fast-paced environment.
  • Strong multitasking, organizational, and detail-oriented skills.
  • Proficiency in Microsoft Office Suite (Word, Excel) and Photoshop.
  • Willingness to learn and adapt to new software programs.
  • Critical thinker with strong problem-solving skills and situational awareness.
  • Flexibility to adjust priorities and timelines in alignment with homebuilding schedules.
  • Strong initiative with the ability to propose solutions.
  • Demonstrated ability to build and maintain trusting relationships.
  • Working Environment

  • Full-time position, Monday through Friday (40 hours per week).
  • Minimal overtime as required.
  • Primarily office-based administrative work.
