- Process and review bi-weekly / monthly payroll for all employees, ensuring accuracy and compliance with company policies, federal, state, and local regulations.
- Maintain payroll records, including deductions, tax filings, and benefits administration.
- Handle payroll tax filings, including quarterly and annual reports (e.g., Form 941, W-2s, state tax filings).
- Coordinate with HR to manage employee benefits, deductions, and any changes affecting payroll.
- Address payroll inquiries from employees, ensuring timely and accurate responses.
- Ensure proper recording and reporting of employee leave (sick, vacation, FMLA, etc.).
Accounting and Financial Reporting :
- Assist with month-end and year-end closings, ensuring all payroll-related transactions are accurately recorded.
- Reconcile payroll accounts, including accrued wages and tax liabilities.
- Reconcile balance sheet accounts.
- Assist in preparing financial reports, such as balance sheets, income statements, and other reports as required.
- Assist with the preparation of annual budgets by providing payroll and compensation data.
- Review and maintain internal controls to ensure the integrity of financial records.
- May involve supervising junior staff and providing guidance.
Banking :
- Make regular bank drop-offs as required by company policy, ensuring cash or checks are deposited in a timely manner.
- Ensure that all transactions related to bank deposits are properly recorded in the accounting system.
- Compliance and Audits :
- Ensure that payroll and accounts payable activities are in compliance with all federal, state, and local laws and regulations.
- Coordinate internal and external audits related to payroll and accounts payable, providing documentation and explanations as needed.
- Stay updated on changes in tax laws, payroll regulations, and accounting standards to ensure ongoing compliance.
Process Improvement :
- Identify opportunities for payroll and accounts payable process improvements and automation to enhance accuracy and efficiency.
- Assist in the implementation and integration of new payroll and accounting systems or software as needed.
General Administrative and Clerical Support :
Maintain confidential payroll, accounts payable, and accounting records.
Support the accounting team with general accounting duties as needed, including journal entries, reconciliations, and financial reporting.
Qualifications : Education :
- Bachelor’s degree in Accounting, Finance, or a related field required.
Experience :
- 5+ years of experience in accounting, payroll, and accounts payable in a pharmacy or healthcare setting.
Skills & Competencies :
- Strong knowledge of accounting principles, payroll processing, and accounts payable.
- Familiarity with payroll tax laws (federal, state, and local).
- Proficiency in Microsoft Excel (advanced formulas, pivot tables, and data analysis).
- Attention to detail and excellent problem-solving skills.
- Ability to handle sensitive and confidential information with discretion.
- Strong organizational skills and the ability to manage multiple tasks with tight deadlines.
- Excellent communication skills, both written and verbal.
- Proficiency in payroll software (e.g., ADP, Paylocity, QuickBooks) and general accounting systems.
