The Senior Director role is a strategic management and supervisory position that is an integral component in Shares operations and program administration. The Senior Director is responsible for supporting housing directors in program planning, program administration, resource allocation, program reporting, internal accounting, external reporting, compliance monitoring, and human resources of their specific program(s).
Program Planning (25%)
Support the housing program directors in ensuring that programs are collaborative and in-line with the strategic plan
Lead efforts to maximize effectiveness, by analyzing workflows and making positive changes
Program Administration (20%)
Collaborate with the Compliance and Equity Manager to ensure that programs are in-line with contract goals and expectations
Collaborate with Data and Operations Manager to examine program data ensuring that outcomes are equitable and that all clients are given the tools they need to be successful by examining data of positive and negative outcomes as well as bans and disciplinary actions
Collaborate with program directors, owners of the buildings, Shares maintenance and Shares office manager to ensure that the physical buildings in which Shares programs operate are safe and functioning.
Work with People and Culture Director and program directors to support retention and celebration of workplace wins.
Play an active role as a part of senior leadership in discussing strategy, internal and external communications, etc.
Serve as the backup when program directors are on vacation, ill, or when a position is vacant.
Resource Allocation (10%)
Support program directors in adhering to their budgets
Communicate with Senior leadership around funding needs and wants of the senior leadership
Assign technology, facility, and other resources in accordance with program goals, objectives, guidelines, and requirements
Program Reporting (5%)
Prepare program performance measures, reports, strategic plan updates, or other updates as required or requested
Internal Accounting (10%)
Support Date and Operations manager in ensuring HMIS data has been entered appropriately and conduct monthly reconciliation
Complete needed internal documents / forms to bill for reimbursement of expenses
Ensure that program directors are trained on needed accounting documentation and are submitting accurate data in a timely manner.
Complete needed internal documents / forms to authorize and reconcile purchases made on behalf of programs supervised
External Reporting (5%)
Prepare externally mandated or required reports, forms, documents as needed or requested
Provide verbal and written updates to program funders as needed or requested for program supervised
Respond to inquiries about programs supervised
Compliance Monitoring (15%)
Implement and integrate grant and program requirements into program operations
Respond to client solution requests
Review client solution requests, satisfaction surveys, and incident reports for themes and needed adjustments or changes on a quarterly basis
Adjust and align program operations to ensure congruence with compliance requirements
Take action when a non-compliant activity or situation is identified to bring the program back into compliance. Report noncompliance and action steps to executive director.
Human Resources (10%)
Assess training needs of program directors
Look for gaps in training then either provide training or bring in outside trainers to ensure staff learning is appropriate
Perform program onboarding of new staff
Provide coaching, support and if necessary, disciplinary action support to and for program directors
Conduct performance evaluations in a timely manner
Address performance concerns in a timely and effective manner and provide support for program directors in addressing performance concerns
Qualifications :
Undergraduate degree in a related field or equivalent experience
Three years of program management experience
Three years of supervisory experience
Preferred Qualifications :
Advanced degree in a related field
More than five years of required experience in program administration and / or employee supervision
Position candidates will be required to successfully complete a background check, which includes :
