Job description

Secretary Position

Salary : $15.65 - $19.56

This Secretary position is assigned to the City Attorney's Office and is responsible for a majority of the cash handling process in the office, receptionist duties, preparation of liens and processing of bankruptcy claims. These responsibilities require great attention to detail and accuracy. The applicant must meet and maintain qualifications for Criminal Justice Information Systems (CJIS) access. Under general supervision, performs full administrative functions of a standard nature for one or more persons.

Essential Job Functions :

Composes, generates, and types certified and regular mail, emails, bankruptcy claim forms, liens, releases, and routine correspondence using proper spelling, punctuation, sentence structure, and grammar.

Processes cash received in the department according to City and department policies, including accurately preparing deposit memos.

Accurately enters invoices, checks, and lien data into excel and / or case management system.

Takes calls from title companies and other individuals needing labor lien payoffs and accurately calculates and provides payoff amounts.

Answers routine inquiries through oral and / or written means utilizing knowledge of assigned function or routing inquiry to correct person or department.

Answers and directs calls using multi-line telephone, takes clear messages, receives, and directs visitors, schedules appointments, and makes reservations using some independent judgement.

Operates standard office equipment such as computer, calculator, fax, copier, scanner, etc.

Assists citizens with completing municipal court complaint affidavits, including inquiring with the court or within the court software for information.

Other Job Functions :

Updates various law library books.

Minimum Qualifications : Knowledge, Skills and Abilities Required :

Knowledge of office administrative practices and procedures.

Knowledge of word processing software including Microsoft Office programs (Word, Outlook, Excel, and PowerPoint).

Skill in proofreading materials to ensure a high degree of accuracy.

Skill in typing efficiently.

Skill in composing and editing correspondence.

Skill in communicating effectively by oral and written means.

Skill in communicating in a calm, professional manner in an adverse environment.

Skill in alpha and numeric filing.

Skill in making mathematical calculations.

Ability to operate office equipment, including but not limited to a computer, fax, copier, scanner, multi-line telephone, calculator.

Ability to maintain electronic and manual file system.

Ability to establish and maintain courteous, effective working relationships.

Ability to multitask in a fast-paced environment.

Qualifying Education and Experience :

Two (2) years of college.

One (1) year experience as an administrative assistant.

Or any equivalent combination of education and / or experience.

Ability to become and maintain a notary public within six months of hire.
