Executive Assistant

The Executive Assistant will provide high-level administrative support to the CEO and Executive Vice President. This role is split between ensuring the accuracy and timeliness of sales documentation in our CRM system, ConnectWise, and traditional executive assistant duties. The ideal candidate will have strong organizational skills, excellent communication abilities, and a high level of professionalism.
Duties and responsibilities include but are not limited to the following :
- Manage and maintain executive schedules, including scheduling meetings, appointments, and travel arrangements.
- Act as a gatekeeper for emails and calendars, ensuring effective time management.
- Prepare and edit correspondence, reports, and presentations.
- Assist in the preparation and coordination of executive meetings and events.
- Handle incoming calls, emails, and other communications on behalf of the executive team.
- Conduct research and compile data for reports and presentations.
- Maintain filing systems and ensure accurate record-keeping.
- Ensure the accuracy and timeliness of sales documentation in the CRM system, ConnectWise, across all locations.
- Monitor sales activities and follow up with the sales team to ensure updates and proper documentation.
- Pull and analyze sales reports from ConnectWise to identify discrepancies and ensure data accuracy.
- Communicate with sales teams to request updates and corrections in ConnectWise.
Requirements :
Strong organizational and time-management skills.Excellent written and verbal communication skills.Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).Ability to handle confidential information with discretion.Detail-oriented with a high degree of accuracy.Strong interpersonal skills and the ability to work effectively with a diverse team.Ability to multitask and prioritize tasks in a fast-paced environment.Familiarity with CRM systems, preferably ConnectWise.Ability to work independently and take initiative.Qualifications :
High school diploma or equivalent; associate or bachelor's degree preferred.1-2 years of previous administrative assistant experience required.Experience as a user of a CRM system required.Why IP Pathways?
