Administrative Assistant

The City of Oregon City has an amazing opportunity for an Administrative Assistant to join the Community Development Department. Applicants are encouraged to submit their application materials as soon as possible. Community Development is responsible for working with the community to guide growth and development in Oregon City. We are a small but mighty department comprised of the Planning Division and Building Division. The Community Development Director is the department head. The Administrative Assistant position is an exciting opportunity to support these two divisions in complex future facing projects such as housing and development policy and code updates and providing customer service for people looking to develop their property. As the Administrative Assistant in this dynamic and energetic department, you will be one of the first people to greet customers at the counter, on the phone, or through email. You will answer questions and provide accurate information about Community Development processes and policies. You will support the director, two managers, and the entire staff with various administrative tasks such as :

  • Phones and front desk coverage
  • Contract tracking, purchasing, and invoicing
  • Application and payment intake
  • Respond to public information and records requests
  • Archive records
  • Updating webpages
  • Prepare and distribute land use and public hearing notices

This position will also support, setup, coordinate, and clerk all commissions, boards, and committees staffed by Community Development. This consists of the Planning Commission, Historic Review Board, Natural Resource Committee, Citizen Involvement Committee, and the Developer Stakeholder Group. These meetings are typically in the evening hours (with the exception of the Developer Stakeholder Group) and can run until 10 : 00 p.m. All boards and committees currently meeting in person, with a virtual / hybrid option for the public. Knowledge and Skills :

  • In-depth knowledge of office practices, procedures and equipment, including filing systems, receptionist and telephone techniques, and letter and report writing.
  • Basic knowledge of the policies and procedures associated with the assigned department.
  • Working knowledge of personal computer based software programs that support this level of work, including but not limited to word processing, spreadsheet, presentation graphics, special applications used by the organization unit, and data entry onto custom databases.
  • Sufficient math skills to perform financial and statistical record keeping.
  • Sufficient knowledge of proper English usage, grammar, spelling, and punctuation to prepare professional correspondence.
  • Sufficient human relations skill to work cooperatively with diverse teams, exercise patience when dealing with internal and external customers, and convey technical concepts.
  • Abilities :

  • Ability to independently perform all of the duties of the position.
  • Ability to accurately take and transcribe notes and / or meeting minutes / recollections.
  • Ability to receive and properly control sensitive, confidential, and private information.
  • Ability to learn, interpret, explain and apply knowledge of municipal government and department organization, operations, programs, functions, special terminology used in the organization unit, and labor agreements to relieve the Director of a variety of administrative details.
  • Ability to prepare spreadsheets, graphs and charts.
  • Ability to learn and enter, import, and export data to and from databases within a reasonable time frame.
  • Ability to plan, organize and prioritize work in order to meet schedules and timelines.
  • Ability to work cooperatively with senior citizens.
  • Ability to work as contributing member of a team, work productively, patiently, and cooperatively with other teams and external customers, and convey a positive image of the City and its services.
  • Physical Abilities :

  • Function indoors in an office environment engaged in work of primarily a sedentary nature.
  • Ambulatory ability to sit for extended periods of time, to utilize microcomputers and peripheral equipment, accomplish other desktop work, and to move to various campus locations.
  • Ability to use near vision to read printed materials.
  • Auditory ability to carry on conversations in person and over the phone.
  • Ability to retrieve work materials from overhead, waist, and ground level files.
  • Manual and finger dexterity to write, use a pointing device and keyboard at an advanced rate, operate microcomputer, and to operate other standardized office equipment, almost constantly requiring repetitive motions.
  • Education and Experience :

    The position typically requires knowledge equivalent to completion of college-level business courses and four years of progressive administrative specialist experience. May require a valid driver's license.

    Working Conditions :

    Work is performed indoors where minimal health and safety considerations exist.
