Ascentec Engineering is hiring a People Operations Coordinator who will support the Human Resources (HR) team by assisting with daily people operations activities and ensuring efficient processes, data accuracy, and positive employee experiences throughout the employee's lifecycle. Key areas include onboarding coordination, employee data management, leave administration, HR reporting, offboarding, events planning, and general HR support.
This position is on-site (not remote / not hybrid) at our Tualatin, Oregon location and one day per week at our Dallas, Oregon location. This position is not eligible for Visa sponsorship or transfer of Visa sponsorship.
Core Responsibilities
- Coordinates and facilitates weekly new-hire orientation to deliver a consistent and engaging onboarding experience.
- Manages onboarding tasks after offer acceptance, including initiating background checks, drug screens, and collecting documentation (I-9 forms, verification, and E-Verify).
- Coordinates with IT to ensure new-hire equipment, workstation, and system access are prepared before start dates.
- Processes employee actions in Paylocity, including hires, terminations, transfers, and status changes, ensuring data accuracy and timely entry.
- Assists with terminations, ensuring the offboarding process is followed, including completed documentation, updated systems, and adherence to compliance requirements.
- Conducts or distributes exit surveys to departing employees, documents reasons for separation, and ensures rehire eligibility status is clearly recorded.
- Responds to employment verification requests and processes unemployment claims accurately and promptly.
- Administers leaves of absence (FMLA, OFLA, Paid Leave Oregon), coordinating with employees, managers, and third-party administrators through return-to-work.
- Maintains accurate and confidential employee records and ensures data integrity across all HR systems.
- Maintains a library of current job descriptions for all positions, updating them as titles or responsibilities change.
- Ensures the organizational chart reflects current reporting structures across the organization.
- Supports building and tracking HR metrics, including turnover, headcount, time-to-fill, and other key people data as directed.
- Provides administrative and reporting support to the HR team, including metrics, correspondence, and tracking logs.
- Supports HR initiatives such as engagement programs, compliance training, and policy implementation.
- Collaborates with the HR team and other internal groups to plan and coordinate events, meetings, and employee engagement activities.

Education / Certifications
Associate's or Bachelor's degree in Human Resources, Business Administration, or a related fieldExperience
1–3 years of HR or administrative experience.Experience with Paylocity preferred.Familiarity with leave administration (FMLA, OFLA, Paid Leave Oregon) and ADA accommodation processes, as well as general employment compliance practices.Knowledge, Skills & Abilities
Strong organizational skills and attention to detail.Proven commitment to data accuracy and confidentiality.Excellent customer service and written and verbal communication skills.Ability to work independently and as part of a team.Ability to manage multiple priorities in a fast-paced environment.Proficient in HR systems, Microsoft Office Suite, and data reporting tools.Valid driver's license and access to reliable transportation.Mental / Physical Demands
