We currently have the opportunity to add a Front Desk Administrator to our team in Buckhead.
The Front Desk Admin serves as the first point of contact by operating a multi-line phone system to manage incoming calls and direct inquiries appropriately. Greets and assists visitors, ensuring they are directed to the appropriate personnel, while providing general administrative support to the office team. The Front Desk Administrator plays a key role in supporting the Office Manager, Managing Broker, and agents with a wide range of administrative tasks. This position always requires maintaining a professional appearance and demeanor, as well as the ability to stay focused and productive without constant supervision.
Job Duties :
- Managing a multi-line phone system and directing calls appropriately
- Handling daily MLS tasks and maintaining up-to-date listings
- Monitoring and responding to office emails in a timely manner
- Processing checks and managing walk-in traffic professionally
- Notifying agents promptly when brochures, packages, or other materials are delivered
- Completing and maintaining the daily and weekly checklists
- Ensuring the office remains clean, organized, and presentable always
- Answer phone calls, direct calls, and assist agents and their clients
- Greet agents, staff, and visitors
- Update listing statuses in MLS and / or DMS
- Learn all Ansley-related systems and tools; provide training to agents as needed
- Respond to emails promptly
- Schedule meetings and manage the conference room calendar
- Maintain and update the Agent on Duty schedule
- Clean and wipe down the conference room, academy, workstations, workroom, and kitchen counters
- Empty trash in the kitchen, floor desks, academy, and conference room as needed
- Order, organize, and maintain accurate inventory of office supplies for both Buckhead and Marketing offices
- Stock kitchen supplies and shared spaces at both Buckhead and Marketing offices
- Order, organize, and display marketing materials on the marketing wall
- Check and distribute incoming mail; ship packages via UPS and / or courier
- Process agent billables in DMS
- Refill printer and copier paper; email faxes to agents as needed
- Accept and properly route leases, checks, and contracts
- Issue signage and lockboxes; maintain inventory
- Prepare and distribute weekly sales meeting notes
- Assist with agent training, IT requests, and audio / visual equipment setup
- Distribute birthday gifts to agents and employees
- Stock and organize the storage room on the main floor and B4
- Provide folders, pens, and onboarding gifts to Office Managers
- Manage the utility spreadsheet; review and scan invoices to Accounts Payable daily
- Activate / Deactivate parking and access cards
- Upload receipts into expense reporting software accurately and in a timely manner
- Order business cards for agents and staff
- Order food for sales meetings and office events
- Additional duties may be assigned as needed, and flexibility is expected to meet the dynamic needs of the office.
Compensation : The base pay range for this position is $19-21 / hour; however, base pay offered may vary depending on job-related knowledge, skills, experience and market location. Bonuses may be provided as part of the compensation package, in addition to a full range of benefits.
