  • Screen all calls and assist callers when possible
  • Schedule appointments and maintain calendars for the Executives
  • Assist with planning or research for special events , seminars, special projects
  • Communicate to executive team on status of prospective clients and renegotiated management agreements for existing clients
  • Prepare marketing correspondence, proposals, and management agreements for prospective or new clients
  • Prepare meeting materials for presentations to prospective clients
  • Set up conference room with refreshments and computer access for meetings
  • Coordinate, compile and distribute After Hours On-Call Roster on an ongoing basis
  • Monitor emails to info@resourcepropertymgmt.com and forward to the appropriate party
  • Inform owners of building maintenance issues, schedule maintenance & repairs
  • Monitor and replenish office supplies, RPM branded printing materials, conference room refreshments and any other ongoing needs for the operation of the office
  • Purchasing for both corporate office and associations utilizing corporate credit card
  • Create and track Check Requests to ensure RPM is reimbursed timely
  • Audit meeting minute check requests for board or membership meetings ensuring consistency and accuracy
  • Review, calculate and communicate changes to the monthly management fees
  • Supervise Seminole receptionist
  • Other duties that may be assigned during employment Education and Work Experience Requirements :
  • 3+ years of senior level executive administrative assistant experience
  • High school diploma or GED
  • Florida CAM license (preferred but not required)
  • Florida driver’s license Physical Demands / Requirements :
  • Ability to safely & successfully perform the essential job functions consistent with RPM procedures, handbooks, training, and safety manuals
  • Ability to maintain regular, punctual attendance consistent with RPM policies
  • Must be able to lift and carry up to 20 pounds
  • Must be able to speak clearly and hear
  • Frequently required to stand, walk, sit, reach with hands / arms and type correspondence
  • Occasionally required to stoop, crouch, or kneel Skills :
