Position Summary :

The purpose of this position is to ensure proper processes and internal controls are followed to maximize efficiency, compliance, and integrity within the accounting system. Provides updates related to spreadsheets, files, and reports as needed. Works with the other fiscal staff to meet required deadlines of activities and supports supervisor to implement systems improvements.

Duties and Responsibilities :

Financial Transaction Assistance :

  • Involved in bookkeeping functions needed to record financial transactions. Records, balances, and classifies all revenue and expenditures to proper accounts
  • Audits entries and documents to ensure accuracy, propriety, proper account coding, adequate explanations, and other applicable information
  • Assists in research projects requiring research, interpretation, or auditing of statistical data as assigned and prepares various schedules and reports
  • Reviews the various accounts, financial summaries, and statements for accuracy and compliance.
  • Assist with month-end closing

Medical Record Review

  • Review of outpatient health records to confirm that required documents, forms, and provider signatures are present, dated, and properly authenticated.
  • Reviews provider documentation to verify compliance with Wabanaki policies and federal / state regulations, including HIPAA, CMS, andMaineCare.
  • Utilizes the electronic health record (EHR) and HIM applications to monitor record completion, document deficiencies, and generate reports as needed.
  • Collaborates with providers, nursing staff, and other clinic personnel to resolve documentation issues
  • Supports organization readiness for internal audits, quality reviews, and regulatory surveys throughaccurate record review and maintenance.
  • Maintains confidentiality of all protected health information (PHI) and adheres to HIPAA and organizational privacy policies.
  • Accounts Receivable / Payable

  • Build and maintain electronic filing system for all AR / AP items
  • Keep accurate records of incoming and outgoing payments to the organization
  • Processes account payable invoices
  • ensure proper documentation and approvals are obtained.

  • Tracks and reconciles outstanding purchase request forms.
  • Accounting Systems Support

  • Ensure practices are GAAP and MAAP compliant and comply with federal, state, and local regulations
  • Assists with the development of and maintenance of financial and business policies, controls, and reporting procedures
  • Assists with the development of documentation of systematic procedures for payroll related tasks
  • Maintain vendor online bill pay accounts
  • Perform other related duties as assigned.
  • Education and Experience Required :

  • University degree in accounting, business administration, economics, commerce, or a related field OR
  • Four (4) years of experience in accounting, auditing, budgeting, financial planning and analysis or other financial activities
  • Strong knowledge of bookkeeping, accounts payable, and accounts receivable.
  • Understanding of non- profit / governmental / fund accounting.
  • Ability to maintain
  • process according to federal and state regulations.

  • Experience with QuickBooks.
  • Experience reconciling accounts and maintaining general ledgers
  • Skills and QualificationsRequired :

  • Capable of producing various financial reports from interpreting and analyzing data.
  • Proven experience with Microsoft Excel, Word and Outlook.
  • Attention to detail and accuracy.
  • Proven organizational and multitasking skills
  • Ability to solve problems and analyze information
  • Excellent customer service skills
  • Able to maintain
  • high levels of confidentiality

  • Good verbal and written communication skills.
