- The Tools Account Manager will lead the development, implementation, and ongoing management of Hays Electrical Services’ internal tool rental program.
- This role will be responsible for building the program from the ground up, using Tenna as the centralized tool tracking software and fully integrating it with Vista ERP to ensure seamless financial reporting.
- The position is focused on building scalable processes for tool allocation, billing, and reporting across all electrical construction projects, ultimately establishing an in-house rental program comparable to an external provider such as United Rentals.
- Key Responsibilities Support the Design and Management of the Tool Rental Workflow Partner with program leadership to refine and implement the internal check-in / out process, ensuring tools are tracked, maintained, and distributed efficiently across projects. Provide operational insight to improve accuracy and accountability throughout the workflow.
- Assist with Tenna Configuration and System Reporting Support configuration and ongoing maintenance of Tenna’s tracking features, including asset assignment, location updates, and utilization data.
- Ensure Tenna integrates effectively with internal accounting and cost systems for real-time visibility.
Maintain and Apply Approved Rate Structures Manage the approved tool rate sheets within Tenna and accounting platforms, ensuring rates reflect tool value, maintenance cost, and replacement cycles.
Verify accurate and consistent application across all projects and cost codes.Monitor Utilization and Provide Analytical Insights Track and analyze tool usage, downtime, and frequency of movement between projects.Identify underutilized or high-demand assets and provide data-driven recommendations to support capital planning and purchasing decisions.Coordinate Cross-Functionally with Key Departments Collaborate closely with Purchasing, Field Operations, Accounting, and Project Management to ensure alignment between field usage, warehouse operations, and financial reporting.Support communication flow to resolve discrepancies and maintain transparency.Generate Internal Invoices and Allocate Costs via Software Create internal invoices and allocate tool rental costs to projects through integrated systems such as Tenna and Sage.Reconcile utilization data monthly to ensure accurate reporting and documentation.Participate in Pilot Rollouts and Continuous Improvement Support pilot testing for specific tool categories or regions, providing feedback and helping refine processes before company-wide implementation.Document lessons learned to improve scalability. Provide Training and Ongoing Technical Support Conduct hands-on training for foremen, warehouse staff, and purchasing personnel to ensure proper use of Tenna and related software.Offer continued support to reinforce compliance and operational consistency.Qualifications Proven experience in equipment management, tool / equipment sales, or logistics, with a strong understanding of asset value, lifecycle, and cost recovery.Familiarity with workflow operations and field coordination preferred but not required.Skilled in using or supporting systems such as Tenna, HCSS, Viewpoint (Vista), or similar asset and cost management platforms.Strong business acumen with the ability to manage internal rate structures, promote program adoption, and communicate the financial value of efficient tool utilization.Analytical and process-driven mindset with the ability to build cost models and identify process improvements.Strong coordination skills to align field, warehouse, purchasing, and accounting teams around shared goals.Excellent communication and training skills to ensure system adoption and consistent program participation.Self-starter with initiative, accountability, and the ability to support leadership in building a scalable company-wide tool rental operation.Benefits :
