We are seeking an experienced and motivated Intake Manager to lead and optimize the firms client intake department the front line of communication for individuals seeking justice after life-changing events. This role is critical to ensuring that every prospective client receives the highest level of care empathy and responsiveness from their very first call.

Key Responsibilities

  • Oversee daily operations of the intake team ensuring all calls web leads and referrals are handled with professionalism and empathy.
  • Serve as the first point of contact for potential clients setting the tone for trust compassion and confidence in the firms services.
  • Train mentor and coach intake specialists to consistently deliver high-quality client interactions and accurate eligibility assessments.
  • Implement and monitor intake performance metrics (response time conversion rate call quality etc.) to drive team efficiency and success.
  • Coordinate onboarding for new clients ensuring all documentation medical records and case details are captured accurately.
  • Collaborate with attorneys and case managers to ensure a seamless transition from intake to active case management.
  • Identify and recommend process improvements and technology enhancements to streamline workflows and enhance data accuracy.
  • Maintain and enforce quality assurance standards reviewing calls and documentation for professionalism compliance and completeness.
  • Contribute to the firms growth by fostering a positive collaborative and client-centered culture within the intake department.

Qualifications

  • 3 years of experience managing or leading intake operations in a personal injury law firm (or closely related legal environment).
  • Strong understanding of personal injury case intake client eligibility assessment and insurance claim setup.
  • Proven ability to train motivate and develop high-performing teams.
  • Excellent verbal and written communication skills with a compassionate approach to client service.
  • Proficiency with CRM and case management systems (e.g. Litify CasePeer RingCentral ).
  • Strong organizational analytical and multitasking skills.
  • Bilingual (English / Spanish) preferred but not required.
  • High emotional intelligence and professionalism when dealing with sensitive client matters.

    Salary Range : $75000 $95000 (commensurate with experience)
