The Receptionist ensures personal contact professionally to all patients seen at Hopedale Physician's Office and / or Satellite offices. Provides efficient and competent patient scheduling for
all physicians practicing at this office utilizing the current computer system ( not present at all satellite locations) . Assist at any office as needed, including Saturday.
Responsibilities :
- Unlock office and prepare for patients.
- Answer incoming phone calls, assist patients with scheduling needs or transferring to the appropriate department / person requested.
- Take concise, accurate messages for nursing staff and physicians.
- Greet patients; gather and update all necessary information upon arrival.
- Update schedules in the Medical Manager Appointment Scheduler or scheduling book.
- Schedule appointments according to individual providers’ schedules and the type of service requested.
- Maintain Medical Arts policies and procedures; update as needed.
- Refer patients in need of payment arrangements or financial assistance to the physician billing office.
- Schedule follow-up appointments as directed and provide patients with written appointment reminder cards.
- Collect necessary payment at time of service.
- Make reminder phone calls for upcoming appointments.
- Review each super bill after a patient has been seen by the physician or nurse. Verify a diagnosis is indicated by the physician or the nurse and code it appropriately. Apply proper CPT codes for services rendered. Contact the Physician Billing Office for assistance when needed.
- Maintain schedules for consulting physicians, notifying their home office as per their individual preference.
- Complete lab requisitions and outpatient services requisitions and direct patients to the outpatient admitting office.
- Complete end-of-day procedures.
- Assist with the ordering and restocking of office supplies as needed.
- Perform other related work as required or requested.
