Maine Connections Academy (MCA) is a tuition-free, virtual public charter school for students in grades 712 statewide. MCA is authorized by the Maine Charter School Commission and is governed by an independent Board of Directors. MCA is accredited by the Cognia.
Overview :
Accepting applications for the 2025-2026 school year. As a member of the MCA team, the Administrative Assistant II plays a vital role in supporting school operations, family engagement, and administrative needs across the school year cycle. This position is based in our South Portland office and includes responsibilities ranging from family outreach to event coordination and leadership support.
Key Responsibilities :
- Provide year-round administrative support to the leadership team and staff
- Coordinate and support logistics and supplies for state testing, academic summits, professional development days, and other in-person events, including booking venues, booking lodging / accommodations, organizing supplies, and processing contracts
- Serve as the primary point of contact for incoming calls, emails, and office visitors
- Facilitate Pre-Enrollment Meetings for new families to support onboarding and understanding of virtual learning expectations
- Manage student records, enrollment / unenrollment processes, and data entry in online information systems
- Track and organize inventory, equipment, and assets for both the office and off-site events
- Maintain office security and manage online vendor accounts and facility access
- Support mail processing, filing, copying, and documentation of school communications
- Generate reports and maintain accurate, up-to-date records as needed
- Collaborate with team members to complete special projects and ongoing school needs
- Facilitate and organize communication and task tracking related to survey distribution, attendance excusals, enrollment data sharing and tracking, and family outreach (including intent to return and enrollment tasks); support and manage state testing registration
Qualifications :
Must reside in MEMinimum of 23 years of administrative assistant experience strongly preferredExperience with event coordination and logistical planning preferredAssociate's degree or higher preferredStrong technology skills including Microsoft Office (especially Excel), Google Suite, and web-based platformsExcellent written and verbal communication skillsAbility to multitask and prioritize in a fast-paced environmentHigh attention to detail and strong organizational skillsSelf-motivated and able to work independently and as part of a teamCustomer-focused approach and strong interpersonal skillsDemonstrated flexibility and follow-through on tasks and deadlinesMust be able to use a personal electronic device and an email address for two-step authenticationEqual Opportunity Employer This employer is required to notify all applicants of their rights pursuant to federal employment laws.
