The Role : Senior Administrative Assistant

This is a dynamic detail-oriented role that supports leaders across multiple departments and the Operations Team. Your day-to-day responsibilities will vary depending on needs but your presence will help ensure that people processes and priorities stay aligned.

Youll also work closely with other administrative staff across the organization and provide backup support when needed.

What you will be doing :

  • Providing general office support services and supporting ad hoc administrative projects and initiatives as needed demonstrating flexibility and attention to detail
  • Handling messages and emails and relaying information in a timely manner
  • Scheduling and organizing meetings conference calls and video conferences
  • Coordinating travel arrangements including re-arrangements as needed
  • Preparing and processing expense reports in a timely and accurate manner
  • Providing logistical and administrative support for board meetings and assisting with audit preparation
  • Maintaining and updating internal systems databases and shared files to support team operations and record-keeping
  • Prioritizing a variety of time-sensitive tasks
  • Working closely with other administrative assistants across the company providing backup as needed
  • Carrying out any other duties as may reasonably be required

What we are looking for :

  • 57 years of professional experience in an administrative role with similar responsibilities
  • High school diploma or equivalent required; Associate degree preferred
  • A high level of discretion and professionalism when handling sensitive information
  • Excellent organizational skills and a commitment to accuracy and follow-through
  • Strong communication skills - written verbal and interpersonal
  • A proactive mindset with a customer service orientation toward internal teams
  • Confidence managing email calendars and meeting logistics across multiple platforms
  • Proficiency with Microsoft Office Suite
  • Comfort using video conferencing platforms and learning new systems
  • The ability to work independently manage shifting priorities and meet deadlines
