Our teams provide high-quality Occupational Therapy (OT), Physical Therapy (PT), Speech Therapy (ST), and Applied Behavior Analysis (ABA) services to children and families in our clinics and in-home settings across multiple locations and states.

We are looking for a motivated, detail-oriented, and dependable Senior Medical Billing Specialist to join our growing administrative team. This position plays a vital role in ensuring the accuracy and efficiency of our billing operations, helping our team deliver outstanding care while maintaining strong financial performance.

Position Overview

The Senior Medical Billing Specialist is responsible for managing all aspects of the billing and collections cycle for therapy services, including claim submission, payment posting, denial management, insurance follow-up, and patient collections. The ideal candidate will have hands-on experience with therapy-related billing and coding (OT, PT, ST, and ABA) and a solid understanding of insurance authorizations.

This role works closely with our administrative and finance teams and reports directly to company leadership. Its a great fit for someone who thrives in a collaborative, remote-friendly environment and takes pride in accuracy, communication, and professionalism.

Key Responsibilities

  • Submit accurate and timely claims for OT, PT, ST, and ABA therapy services through EMR and clearinghouse systems.
  • Track, monitor, and follow up on outstanding claims to ensure prompt reimbursement.
  • Review and manage claim denials and rejections, initiating appeals when necessary.
  • Verify insurance eligibility and maintain accurate authorization records.
  • Record and reconcile insurance and patient payments.
  • Manage patient billing statements, payment plans, and collections communications with professionalism and empathy.
  • Maintain payer and code knowledge to ensure compliance with current regulations.
  • Prepare and distribute AR aging and billing performance reports.
  • Collaborate with clinical and administrative teams to resolve billing-related issues quickly and efficiently.
  • Support process improvement initiatives for accuracy and workflow efficiency.

Qualifications

Required :

  • Minimum 3 years of medical billing experience, preferably in a pediatric therapy or outpatient rehab setting (OT, PT, ST, ABA).
  • Strong knowledge of CPT coding, payer policies, and claim submission processes.
  • Hands-on experience with insurance authorization management and denial resolution.
  • Proficiency with EMR and clearinghouse systems (e.g., Fusion, Raintree, Prompt, SimplePractice, WebPT, etc.).
  • Excellent attention to detail, organization, and follow-through.
  • Strong written and verbal communication skills.
  • Ability to work independently and collaboratively with remote teams.
  • Preferred :

  • Familiarity with Regional Center billing (CA) and Medicaid (TX or CA).
  • Experience with Availity and payer portals.
  • Basic understanding of AR reporting and reconciliation.
