General Description :
The Sales Administrator- Special Projects reports to the Director of Sales and Programs. The Sales Administrator will be responsible for a variety of departmental administrative duties including those related to quoting, sales order processing and customer furnished material tracking. This position requires detailed knowledge of company product, procedures and policies. The Sales Administrator interacts with people in all levels of the organization along with customer procurement representatives, therefore excellent communication skills are required. This position calls for an individual who is organized, easily able to multi-task, and detail oriented. Accuracy in data entry is a must.
Primary Responsibilities :
- Administration of customer accounts and records
- Administration of quotes
- Initiation and Maintenance of Sales Orders
- Initiation of contract review process
- Customer Furnished Material (CFM) tracking
- Miscellaneous departmental administrative duties
Education and Experience Requirements :
Associate degree in related field or equivalent experienceHighly proficient computer skillsMS Office suite of software
Experience with US Government contracting desirableExperience with US Government and other customer web portals desirablePreferred experience in the following areas :Customer service
Clerical / administrative dutiesSpecial Tasks and Focus Areas :
Administration of customer accounts and recordsInitial entry and upkeep of customer data in the company manufacturing software system
Track new customers (upon completion of third order request a credit review from Contracts)Administration of quotesSet-up electronic quote log annually
Initiate quote files and route to appropriate person for pricing work-upMaintain quote logsEnsure quote files are maintained with all pertinent informationOversee history filing and quote file retentionAs requested, assist Program Managers with quotesInitiation and maintenance of Sales OrdersSales Order entry
Request new item entry when required
Verify we have correct revisions of documentsAs required, obtain documents from customersAttach appropriate documents to sales ordersRoute customer technical and quality documents to appropriate departmentsIf required, initiate tooling request formsListing Sheet publicationProcess Contract Change Requests (CCR)Initiation of contract review processEnter contract review durations
Schedule contract review kick-off meetingsAs requested, hold contract review kick-off meetingsCustomer Furnished Material (CFM) trackingInitiate CFM purchase orders in Manufacturing Software System
Maintain CFM purchase ordersTrack CFM from receipt to shipmentAs necessary, coordinate return of CFMMiscellaneous departmental administrative dutiesLog customer feedback
Utilization of and administrative support for various customer portals relating to quotations and incoming ordersSet-up and clean-up of meeting space for customer visitsOrganize annual mailing of holiday cardsProvide assistance in the department as required“ AA / EOE / W / M / Vet / Disable ”
