Duties Description Under the direct supervision of a Office Assistant 2, the Office Assistant 1 (Stores / Mail) assists in the receipt, storage, safeguarding, distribution and disposition of automotive, highway, building and bridge maintenance parts, tools and supplies in a Division Storeroom. Duties include, but are not limited to :
1. Assists Office Assistant 2 in the receipt, storage, safeguarding and distribution of all direct charge and inventory items in a Division Storeroom.
2. Assists in the monthly taking of cycle inventory by counting, weighing and measuring items and materials as required. Assist in taking physical and special inventories as necessary.
3. Tags and segregates items which are to be declared surplus or obsolete.
4. Fills out several types of forms and reports such as notices of surplus, receipts, stock transfer sheets, etc.
5. Performs heavy physical labor such as loading and unloading trucks, carrying materials from one point to another, and removing and placing items and materials in their proper receptacles.
6. May be required to operate mechanical lifting devices, forklift, or light trucks.
7. Receive, pick up, deliver, open, appropriately record, time stamp, sort, and distribute mail, e-mail, or other forms of correspondence or communication.
8. Maintain files, correspondence, documents, and materials pursuant to guidelines.
9. Maintain various listings for mail service purposes.
10. Process outgoing mail by inserting letters into envelopes, sealing envelopes, and applying correct postage.
11. May operate a motor vehicle to pick up and deliver mail and move orders for sections.
12. Enter data into and retrieve information from computerized systems.
13. Verify data previously transcribed or entered to detect errors.
14. Perform various clerical or office assistance tasks such as scanning documents and verifying accuracy of data from scanned documents.
15. Receive, unload, unpack, sort, store, count, and distribute goods received by the office while following established procedures.
16. Advise supervisor upon receipt of damaged goods or incomplete or incorrect shipments.
17. Issue and may deliver goods from stock according to procedures.
18. May package goods for shipment.
19. Take periodic physical inventory and maintain perpetual inventory records.
20. Keep shelves and stock clean, neat, and in proper place.
21. Special projects may be assigned.
Minimum Qualifications Fingerprinting is required.
Must possess a valid license to operate a motor vehicle in New York State at the time of appointment and must continuously maintain is thereafter or face possible disciplinary action up to and including termination.

TRANSFER QUALIFICATIONS FOR CURRENT STATE EMPLOYEES :
Current New York State employee with one year or more of qualifying permanent service allocated to a Grade 6 or above and eligible for transfer under Section 70.1 of the NYS Civil Service Law.
NY HELPS MINIMUM QUALIFICATIONS :
There are no minimum education or experience requirements for this title.
This title is part of the New York Hiring for Emergency Limited Placement Statewide Program (NY HELPS). For the duration of the NY HELPS Program, this title may be filled via a non-competitive appointment, which means no examination is required but all candidates must meet the minimum qualifications of the title for which they apply.
At a future date, it is expected employees hired under NY HELPS will have their non-competitive employment status converted to competitive status, without having to compete in an examination. Employees will then be afforded with all of the same rights and privileges of competitive class employees of New York State. While serving permanently in an NY HELPS title, employees may take part in any promotion examination for which they are qualified.
