Our client, a nationwide leader in insurance services, is seeking an exceptional and highly organized Executive Assistant to provide direct administrative support to a team of senior executives in a fast-paced environment. This position offers a hybrid schedule, requiring onsite presence in Seattle twice per week or as needed. The ideal candidate will be proactive, professional, and comfortable supporting executives who lead large-scale, dynamic initiatives.
Key Responsibilities
Calendar Management :
- Manage complex schedules for multiple senior executives, including global time zones.
- Schedule and confirm meetings, resolve conflicts, and ensure optimal time management.
Communication :
Act as a communication gatekeeper, screening and prioritizing emails and calls.Draft, edit, and proofread high-quality emails, presentations, and reports.Prepare meeting briefings with relevant documents and data insights.Travel Coordination :
Organize comprehensive travel itineraries, including flights, accommodations, and transportation.Prepare detailed travel briefings and ensure alignment with executives’ schedules.Administrative Support :
Handle expense reports, budget tracking, and general office management tasks.Maintain accurate records and ensure compliance with company policies.Qualifications
Bachelor’s degree in business administration or related field preferred.3+ years of experience as an Executive Assistant, Program Coordinator, or Junior Project Manager.Advanced proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook, Teams).Excellent written and verbal communication skills.Strong organizational and problem-solving abilities.Ability to handle confidential information with discretion.
