To provide clerical support to assist in the delivery of quality care to patients under the direct supervision of the Unit Manager or Designee. The Unit Admitting Associate works as a member of the patient care team and serves to facilitate unit operations through registering patients, scheduling patient procedures, placing patient charges, checking in visitors to the unit and ordering supplies.
Major Responsibilities
Perform patient interviews to obtain and document patient demographic and provider information and reason for visit in the EMR
- Escort patient to the room
- Compare and verify provided patient information with system patient information.
- Assures that all patient information is accurately and correctly entered into the patient information system according to established policies and procedures.
- Assures that all registration policies and procedures are explained to patient and patient family.
- Assures patient information is accurate via review of patient identification materials
- Obtain signatures on appropriate forms. Provide materials and verbal instructions to the patient and family members on procedures related unit specific procedures, visiting hours.
- Greet patient upon arrival to the unit and begin admitting process.
- Assures that patient has physician orders for test / procedures.
- Participate in appropriate patient identification by preparing arm band and placing on patient
Schedule patient for procedures per providers order over the phone and in person
Enter patient procedure into electronic scheduleNotify PCC / manager if upcoming days schedule is fullDetermine and schedule patient procedures / tests in an appropriate sequence based on unit guidelines. Notify PCC if guidelines not met.Communicate pertinent and timely information to appropriate departments and staff, activities related to bed utilizationSchedule follow up appointments as neededComplete patient charges in a timely manner
Obtain charges from care providers and enter charges in a timely mannerVerify that all charges for the day have been enteredMaintain safety of the department
Response to call lights as needed and alerting staff to patient needsDemonstrates the ability to respond to emergency situations such as Code Blue, Code Red, Code Grey, etc.Promotes patient safety by reporting of issues through established channels and participating as requested in safety initiatives.Prepare and replace as needed accurate patient identification such as wristbands, overbed signs, etc.Check visitors in at the front desk before allowing entrance to the unit.Verify in patient census the name and room number of patient visitor is requesting to visitGive visitor sticker with room number they are visitingOpen door to allow visitor entrance once information verifiedManagement of unit supplies in a cost effective manner
Participate in inventory, ordering and distribution of clerical supplies as directed.Maintain a current supply of patient forms including disposition of outdated forms.Order clinical supplies as requestedMaintains cleanliness and organization of immediate work area
Works in a manner that is in compliance with hospital infection control standards, OSHA, DNV and other regulatory agencies.Ensure timely and accurate processing of orders for unit and equipment repairs.Education / Experience Required
High School education or equivalent. Knowledge of medical terminology is strongly preferred. 1 year related experience is required. Previous computer experience is required. This position will need to recognize needs and behaviors of a variety of age groups of patients treated, i.e. understand normal patterns of adolescent behavior and look for signs of normal aging. Prior experience with various age groups is preferred.Knowledge, Skills & Abilities Required

Ability to successfully complete hospital-based training for Unit Admitting / Clerical Associate. Ability to rotate shifts to provide coverage. Willing to be called off based on unit demands. Exposure to various contagious diseases, radiation, hazards associated with their use.If position has direct patient care or direct patient contact the following lifting requirement supersedes any previous lifting requirement effective 06 / 01 / 2015. Ability to lift up to 35 pounds without assistance. For patient lifts of over 35 pounds, or when patient is unable to assist with the lift, patient handling equipment is expected to be used, with at least one other associate, when available. Unique patient lifting / movement situations will be assessed on a case-by-case basis.This job description indicates the general nature and level of work expected of the incumbent.
