Client Support Specialist
Hours : Monday - Friday, 8 : 30 am -5 : 00 pm
Pay Rate : $40,000-$45,000 / annually

Summary : We are excited to share a new opportunity! PrideStaff Financial is working with a multi-office accounting practice to find a Client Support Specialist. A professional, organized, and tech-savvy Client Support Specialist serves as the primary point of contact for clients and supports the administrative functions of our firm. This role is essential in ensuring smooth management of client interactions, assisting with document management, and office operations.
Key Responsibilities :
- Client Interaction & Assistance : o Greeting clients professionally and warmly in person and over the phone. Offer beverage options to clients / guests who visit the office. o Schedule and confirm client in-person appointments and Teams meetings. o Keeps the conference room tidy and ready for meetings. o Assist clients with downloading and accessing their tax documents for review and signature. o Provide technological support to clients regarding document portals and accessing tax documents. o Answer general inquiries and direct clients to the appropriate staff member when needed.
- New Client Onboarding & Engagement Management : o Draft and send engagement letters to clients. o Onboarding of new clients, in all systems, upon receipt of signed engagement letter and Onboarding form. o Creation of XCM workflows as needed for Professional Staff.
- Database Management : o Maintain and update databases with accurate client information, tax forms to be filed, and filing statuses. Ensure data integrity and confidentiality.
- Document Management : o Download and save client-provided tax documents from various platforms. o Scan, organize, and securely store client tax documents in the firm's document management system. o Ensure all digital and physical client records are properly maintained and confidential.
- Administrative Support : o Manage incoming and outgoing mail including FedEx. This includes Certify Mailing of tax documents and other sensitive information. o Assist the Admin team with other clerical duties as assigned, including assembling tax returns and extensions, recording DCNs to complete client workflows, calling clients for documentation and signed 8879 E-filing authorization forms.
- Office & Inventory Management : o Monitor and maintain firm office supplies, including paper, toner, and other administrative necessities. o Manage drink and snack inventory for staff and client areas. o Coordinate with vendors for replenishment as needed.
