General Summary : Under the direction of the Senior Manager of Records Management of Dallas Area Rapid Transits Development Program Support within the Development department, provides engineering and construction document and records management support for the department. Development Program Support provides support to Development capital projects as well as other DART projects.
Essential Duties and Responsibilities
- Manage, distribute, track revisions, drawing numbers and change information for drawings, specifications, reports, and / or baseline documents.
- Manage the drawing / document repository database.
- Index and upload documents and drawings into the document repository.
- Coordinate and track reproduction of documents and drawings for the department.
- File maintenance and archival of department-controlled documents, including contract deliverables, review submittals, procurement packages, awarded contracts, design calculations and various reports.
- Ensure compliance of drawing submittals to established procedures and the appropriate State of Texas laws and proactively resolve any deficiencies.
- Conduct and participate in reviews, and audits, to ensure compliance with established procedures.
- Assist with identifying, locating, preparing, and securing documents, records, and / or drawings for Copyright License agreements, Public Information requests, and / or departmental and interdepartmental requests.
- Provide cross functional support and management of the Design Review Application(s) as required.
- Provide cross functional support and management of the department file room processes as required.
- Process, log, upload, distribute, and retain file room correspondence.
- Facilitate, support, and / or prepare records for archive.
- Support and assist with project and contract deliverables and closeout deliverables, including performing reviews of as-built drawings, specifications, and other close-out deliverables.
- Performs other related duties as assigned.
Minimum Knowledge, Skills, and Abilities
Bachelor's degree from an accredited college or university in Business Administration, Construction Management, Engineering, or a related field.Four (4) years experience in a document management or records management environment.Familiarity with Document / records control systems, contract administration, construction management, project and contract management, development and implementation of processes and procedures.Proficiency with personal computer and software applications such as Microsoft Office (Word, Excel, Visio, PowerPoint, Outlook). Proficiency using typical office equipment such as scanning equipment, copiers, calculators, etc.Pass a physical (medical) examination that includes a drug screen to operate DART non-revenue vehicles.Ability to operate DART non-revenue vehicle as required.Ability to be dedicated to meeting the expectations and requirements of internal and external customers. Gets first-hand customer information and uses it for improvements in products and services. Acts with customers in mind. Works in an environment where there is minimum exposure to dust, noise, or temperature. May be moderately exposed to unpleasant working conditions to include dust, noise, temperature, weather, petroleum products, and chemicals while visiting DART's operating facilities, assuming incumbent is observing all policies and procedures, safety precautions and regulations, and using all protective clothing and devices provided.
