Community Service Center Coordinator

Job Summary
The Community Service Center Coordinator is the first point of contact for visitors and callers at YWCA Rock County and provides vital administrative support across the organization. Reporting to the Director of Donor Engagement and Grants, this role is responsible for reception duties, coordinating with vendors and service providers, managing office supplies, and assisting with basic facility needs. The position is also cross-trained to support the helpline and shelter office during high-volume times or staff absences, helping to ensure seamless service delivery across departments.
Major Responsibilities
Customer Service & Front Desk Support
- Provide warm, professional, and culturally sensitive customer service to all clients, visitors, staff, and vendors.
- Determine the nature of visits and ensure timely connection with appropriate staff.
- Answer and direct phone calls, respond to inquiries, and provide accurate information about services.
- Monitor building entry points and uphold organizational security protocols.
Office Administration
Perform general administrative tasks such as mail distribution, document preparation, filing, and data entry.Maintain organized records, both physical and digital, to support agency operations.Coordinate the use of meeting spaces, keep common areas clean and functional, and ensure signage is current.Assist with clerical support for executive, finance, and other internal departments as needed.Prepare reports and support document creation and formatting.Vendor Management & Facility Coordination
Serve as the primary liaison with service vendors, including janitorial, copier, IT, and maintenance providers.Track and schedule preventative maintenance and repairs; escalate urgent facility issues appropriately.Maintain and reorder general office and kitchen supplies; manage supply inventory efficiently.Monitor basic facility needs and support coordination—not oversight—of building services.Shelter & Helpline Backup Support
Cross-trained to assist the shelter office and helpline during peak times or absences.Answer crisis calls and provide calm, informed responses in accordance with training and protocols.Support shelter administrative needs such as data entry, document prep, or reception coverage.Organizational Participation
Maintain familiarity with YWCA Rock County’s mission, programs, and core values.Attend and participate in staff meetings, trainings, and organizational events.Ensure confidentiality and uphold professional standards when interacting with clients and staff.Perform other duties as assigned to support overall agency operations.YWCA is committed to recognizing and valuing diversity and strives to create a work place in which diversity is intentionally developed and celebrated. Compensation
NON-EXEMPT, 1.0 FTE. Hourly plus Full Time Benefits
