Serve as the first point of contact for all facility-related customer support inquiries, including maintenance requests, space allocation, and office moves.
Coordinate with maintenance staff and external contractors to schedule repairs and ensure timely completion of work.
Manage the facilities helpdesk system, logging requests, tracking progress, and providing regular updates to employees.
Assist in the implementation and administration of facility policies and procedures to ensure compliance with health and safety standards.
Set up new locations in ServiceChannel platform
Conduct ServiceChannel expectation training for internal and external customers, creating and coordinating training documentation and sessions.
Manage and dispatch EDI error reports and collaborate with the Finance Team to load GL Codes for new trades.
Liaise with vendors and service providers to negotiate contracts, maintain relationships, and ensure quality service delivery.
Maintain accurate records of facility operations, including inventory management, service contracts, and warranty information.
Provide administrative support for the Facilities Management team, including budget tracking, invoice processing, and reporting.
Collaborate with cross-functional teams to support company-wide initiatives and projects that involve facility resources or changes.
Skills and Qualifications :
Proven experience in facilities management, office administration, or a customer support role.
Strong organizational and multitasking skills, with the ability to prioritize tasks in a fast-paced environment.
Excellent communication and interpersonal skills, with heavy customer orientation.
Basic knowledge of building systems, HVAC, electrical, and plumbing is preferred.
Proficiency with facilities management software, helpdesk systems, and Microsoft Office Suite.
Meticulous with strong problem-solving abilities and a proactive approach to resolving issues.
Ability to work independently as well as collaboratively within a team.
Familiarity with health and safety regulations and a commitment to maintaining a safe work environment.
A high school diploma or equivalent experience in this field is required; a bachelor's degree or relevant certification in facilities management or a related field is a plus.
Physical ability to perform tasks that may require prolonged standing, sitting, and other activities necessary to perform job duties.
